Junior Legal and HR Assistant - The Role:

To provide telephone, email and direct support with internal staff to deal with and assist with any issues, queries and ensure the efficiency of the company, as well as general office management. The post holder will complete regular training to be up to date with all company processes and procedures including regulatory requirements.

Responsibilities:

  • Completing all HR administration tasks, such as staff inductions and onboarding them into KHIPU and Inputting of any absences into HR systems (PeopleHR)
  • Act as a point of contact and support all internal and external HR related inquiries or requests whether via email or telephone.
  • Assist with the recruitment process by creating job adverts, screening candidates, identifying candidates, completing interviews and performing reference checks.
  • Assist and support the legal team with any HR related enquiries with employment law, and also any contract law related matters.
  • Assist with performance management procedures and coordinating any training sessions as and when necessary
  • Supporting the rest of the department by creating and completing any reports and analysis as necessary, in terms of any HR related data.
  • Assist in ensuring the HR department are adhering to latest laws/regulations for internal/external audits of the HR function, for maintaining quality assurance accreditations.
  • Scheduling and organizing of meetings, interviews, HR events and maintaining agendas.
  • Maintain a high level of professionalism with confidential issues, and keep up-to-date with the latest HR trends, employment law changes and best practices.
  • Undertaking necessary training courses in HR and Legal to maintain a high level of knowledge within the role.
  • Completing any other admin/ad hoc tasks when deemed necessary.

Junior Legal and HR Assistant - Skills and Experience:

  • Essential: Keenness and aptitude for working with a team and on their own.
  • An interest in HR/Legal/Business Administration
  • The ability to maintain confidentiality at all times and in all circumstances
  • Be approachable, and keen to learn
  • Fluent written and spoken English, competence in written dialogue (e.g. internal and customer emails)
  • Excellent communication skills with the ability to communicate at all levels and in particular a strong telephone manner
  • Have a good understanding of MS office or similar technology
  • Ability to prioritise workload and consistently meet deadlines
  • Excellent organisational skills with the ability to work alone without constant direction
