Customer Service and Sales Coordinator

This is an exciting opportunity for a driven and highly efficient individual who has the ability and passion to make a positive impact on our sales and customer care process.

The successful candidate will have a background within sales and customer service and be able to demonstrate this. You will be responsible, and have accountability, for coordinating the customer journey from initial contact to after service care.

Duties and Responsibilities

Managing Enquiries and Tenders:

  • Calling clients and confirming receipt of website enquiry and expand on lead potentials
  • Taking telephone enquiries
  • Booking and managing all leads/enquiries on to Zoho - our CRM system.
  • Communication with clients confirming to "quote" or "decline" by specified deadline of 48 hours after receiving the lead.
  • Manage the whole process by either moving lead/opportunity to "decline" or "quoting" and assign owner.
  • Attend regular sales meeting.
  • Keep estimating resource planner up to date with job allocation (requotes and absences etc) and ensure clients are up to speed as to when they can expect their quotation returned, liaising frequently with the estimating team.

Other Duties:

  • Analyse sales data and generate weekly reports for distribution to the Sales Team.
  • Drive the ad hoc customer satisfaction surveys and call repeat clients.
  • After sales care. i.e., Tracking any minor issues specifically with end client jobs which need tending to, ensuring we feed back to clients.
  • Assist marketing with client testimonials etc.
  • Call customers, identifying opportunities subsequently passing the lead across.
  • Coordinate/complete pre-qualification questions and ensure they are sent back to the clients on time.
  • Completing project awards for internal use(factory)
  • Support in the diary management of the Operations Director.
  • Ensuring that the CRM is cleansed and accurate all of the time - chasing the Sales Team and Estimators to close jobs as appropriate.
  • Personal development opportunities for the role holder of NVQ Business Administration L3 or equivalent.

The successful applicant will have:

  • At least 2-3 years' experience in a Customer Service or sales administrative environment.
  • Experience of CRM (Customer Relationship Management Systems)
  • Minimum Grade 'C' GCSE English and Maths. (A level education desirable)
  • Intermediate to advance Excel skills (willing to learn to advanced level)
  • Engaging personality with the ability to build rapport quickly with customers
  • Strong coordination skills and ability to communicate at all levels.
  • Professional approach and personal drive to ensure customer needs are exceeded
  • A team player, showing a collaborative approach to working with others.
  • Marketing and branding awareness when dealing with customer
  • Agile, adaptive and a quick learner to understand the company and it's offerings
  • Ability to multi-task and be extremely organised
  • Numerical and analytical abilities with high attention to detail
  • Self-motivated, flexible and works well under pressure
  • Ability to work on own initiative, with an aptitude to solving problems.
  • High standard of IT skills: Microsoft Office, Word and Excel to advanced level
  • Good attendance and timekeeper.
  • Structural Steel industry background preferable.
