Receptionist & Office Administrator
Salary 18-20k dependent on experience
Leeman Road, York
37.5 hours a week 8:30am - 4:30pm Monday to Friday
We offer a range of services including daily rental and contract hire but specialise in short term leases.
We now have an opportunity for an experienced receptionist with good administrative skills to join our existing team. You must have office/reception experience and possess a can-do attitude. You must be able to work well as part of a team as well as independently. You must be able to demonstrate excellent client services.
Role responsibilities but not limited to:-
Reception/Administration/Telephone
* To attend to deliveries left with reception as appropriate
* To send and receive emails
* To search for client information on database as and when required
* Ensure reception area is always tidy and welcoming
* Archiving
* Post - Recording of special/recorded items and taking post to Post Office
* Scanning post and saving to the system
* Ordering stationery and toners and keeping the stationery cupboard tidy
* Ensuring adequate supplies of refreshments and toilet rolls, hand wash etc.
* To provide accurate information to callers on the departments and activities within the Company
* To provide information on specific services operated by the Company
* To distribute calls accurately and efficiently to others within the Company
* To retrieve messages left on the system overnight and forward on
Finance
* To scan in all traffic offences received to the office, save to the system and file
* Send out representations to various authorities as appropriate
* Pay certain fines on behalf of customers and then invoice them for these
* Liaise with partner firms on issues concerning their customers in our cars
* Deal with customer queries about traffic invoices / administration
* Assist with setting up customer Direct Debits on the system
* Updating customer card details on the system
Fleet
* Assist as necessary with the preparations for car sales or deliveries
* Logging V5 information on car delivery and finding V5s for car sales and sending with vehicle / posting to dealer as necessary
General
* To attend training/refresher courses as required by the Department Head
* To attend department meetings as required
* To undertake any other appropriate duties as may be required.
