The Facilities and Operations Associate will be responsible for general oversight, cleaning and upkeep of all public areas of the building and ensure that the office is properly stocked with all necessary supplies. They will assist all departments with organisation of travel and events, and work with our colleagues in the US to globalise our processes as much as possible.

Responsibilities
In this role, you should expect to:
* Answer the telephone to provide a first point of contact for general enquiries.
* Provide the first point of contact all visitors arriving for training or other meetings with the UK team, including managing the visitors book
* Greets and directs visitors, answer telephones and transfer calls in a professional manner, open, sort and distribute post, maintains a clean, presentable and organised work space
* Maintain and restock kitchen supplies in both the staff and customer kitchens
* Order other office supplies, track requests and inventory, maintain the organisation of storage cupboards
* Arrange travel, hotel accommodation and transport for Vectorworks employees, prospective employees and guests, in accordance with the company travel policy, coordinating with line managers for approval.
* Manage the day to day Health and Safety responsibilities of the company (working with our partners, Peninsula and their BusinessSafe system, and outside contractors)
* Submit requests for repairs, serve as a point of contact for employees and maintenance technicians/contractors in regard to facility matters
* Liaise with cleaning contractors to ensure cleanliness and tidiness of all areas in the office. Continue to monitor reception areas, meeting rooms and all public areas of the office building to ensure cleanliness and order.
* Liaise with the managing agents who maintain outdoor areas surrounding the Newbury office building
* Research and assist the management team in the selection of a suitable location for the London team to meet.
* Once selected, manage the relationship and contract with the London office providers.
* Liaise with global teams to support company-wide tasks and functions

* Experience with travel booking systems, such as Concur
* Experience with problem management databases such as JIRA and Wrike
