The Role

We are looking to recruit an experienced and enthusiastic Assistant Facilities Manager to assist with the smooth running of a busy site in Hackney.

The role will involve the day-to-day support in provision of all facilities services within Hackney TLC. These services will comprise cleaning, reception, museum staffing, security and estate maintenance, administrative but is not limited to these.

Duties/Key Responsibilities

* Supervision of multi-disciplined staff necessary to provide facilities services to a museum, public library and office accommodation.

* Establish and build effective working relationships with clients with an emphasis on

* customer interface and utilising a 'can do' approach.

* Motivate, encourage and maintain discipline within the team. Management of staff including appraisals, discipline, training and recruitment.

* Utilise staff time efficiently to meet the demands of the service cross-referencing skills and abilities if necessary.

* To ensure risk assessments, method statements and work permits are issued and in order.

* Purchasing and maintaining stock levels of all cleaning consumables.

* Continually review working practices, identifying any areas for improvement and highlighting cost savings wherever possible.

* Regularly monitor the cleaning 'schedule' which will include frequency of routine cleaning, operatives work schedules and also other specialist cleaning.

* Control response to reactive tasks in order to meet pre-determined timescales.

* Develop full understanding of Security procedures systems and responsibilities for the site.

* To take responsibility for the management of the site in the absence of the Contract Manager.

* To be contactable outside normal hours for occasional emergency calls and to attend site in extreme cases.

* Assemble data and prepare monthly client performance reports and attend monthly client performance meetings.

* Report on financial, H&S and customer related issues on a monthly and as required basis.

* Monitor the performance of all sub contractors, carry out regular performance reviews (as per the Quality Manual) and re-negotiate contracts as and when required. Ensuring best value for money is obtained.

* To organise and delegate work tasks to the site maintenance team to ensure all tasks are completed effectively and within agreed timescales.

* To provide back up to the receptionist, museum assistants and help desk where needed and process reactive calls to help desk utilising bespoke CAFM system.

* To maintain the routine management of the site based administrative systems and procedures.

* To administer monthly sales invoices, invoice coding, expenses, time sheets, absence recording, holiday requests, etc.

* Monitor contract sales & expenditures and prepare monthly budget updates

Skills Required

* Experience of working in a similar environment involving accommodation and FM issues.

* Supervisory experience necessary to manage staff issues

* Experience in customer care/relations in a service environment.

* Experience in building security and cleaning contracts essential.

* The ability to work in a calm and proactive manner with a minimum of supervision.

* A high level of awareness of clients needs in a service environment and ability to build effective working relationships with customers.

* A flexible and innovative approach to work.

* The ability to react promptly and decisively to emergencies.

* Good time keeping.
