Your World Healthcare is a leading specialist healthcare recruitment agency, placing a range of healthcare professionals into Non-Clinical and Clinical positions.
1.
Are you an experienced PA with NHS, Healthcare or Public Sector experience?
2. Do you have strong diary management experience?
3. Have you managed a Director's electronic diary, ensuring that it is kept up to date at all times?
4. Have you organised meetings, events, interviews and appointments for the Director and the Senior Management Team?
5. Do you have minute taking skills and experience of taking formal meeting notes?
6. Do you have excellent and efficient communication skills (both written and verbal)?
7. Are you happy to work within a Healthcare setting located in Nottingham, from 9am - 5pm Mon-Fridays on a temporary basis, expected to last up to 12 months?
8. Can you commence employment immediately or within 1 week if offered employment?
9. Are you happy to register with Your World Healthcare in order to begin employment successfully, as part of your application process? (This is required to commence employment successfully with our healthcare client)
10. Do you have a current Clean enhanced DBS issued in last 12 months or a current valid DBS certificate registered on the update service?
11. If you do not hold a current valid clean enhanced DBS dated in the last 12 months or a valid in-date DBS registered with the update service (with photographic evidence of this), will you be happy to apply for a DBS as part of your application via Your World Healthcare? GBP11.20 - GBP12.35 paye per hour
GBP12.55 - GBP13.80 paye inclusive of holiday pay per hour
GBP14.00 - GBP15.00 umbrella per hour
All of the rates are depending on skill and experience.
Working Days and Hours: Monday to Friday, 8am-4pm, 37.5 hours
Job Description
* Provide minute taking as required to a high standard including preparation of reports, minutes, and other documents with due respect for confidentiality.
* Use of own initiative and judgement to bring forward any enquires that requires the urgent attention of the Director, ensuring that documents or correspondence which would be more appropriately dealt with by another member of the Senior Management Team are redirected appropriately.
* Responsible for the management of the Director's electronic diary, ensuring that it is kept up to date at all times. Using initiative to ensure that their time is protected and to determine priority when conflicting commitments occur.
* Organise meetings, events, interviews and appointments for the Director and the Senior Management Team ensuring that arrangements are made including; room booking, equipment and refreshments (if required) along with any other items that are required and agendas and relevant papers are distributed in a timely manner.
* Maintain confidential personnel files for staff within the Senior Management Team, ensuring co-ordination of annual leave, reporting and recording of sickness, absence and holidays.
* Take responsibility for one's own personal development, staying abreast of Trust protocols.
* Authorise stationery orders for the service.
* Operate electronic and manual filing systems, ensuring that these are maintained and updated at all times.
* Arrange travel and accommodation as required maintaining accurate records.
* Liaise directly with a wide range of external organisations and other Trusts as appropriate.
* Deal with confidential matters on behalf of the Director, maintaining confidentiality at all times.
* Assess own workload and prioritise regularly to ensure a smooth and efficient flow of service.
* Ensure high standards of customer care, positively promoting Digital Services at all times.
* Work within the guidelines of the department and adhere to all Trust policies and procedures.
* Undertake and other administration duties for the Director and his management team that may be reasonably required.
To successfully commence employment as a PA you will be required to:
Register with Your World Healthcare
Hold a clean valid-in date enhanced DBS dated in the last 12 months or a valid in-date DBS registered with the update service (if held by a third party) to commence employment successfully. If you do not yet hold an enhanced clean DBS certificate dated within the last 12 months or a valid certification of a DBS registered with the update service (with photographic evidence of this) - you will be required to apply for a new DBS part of your application. This can be applied for via Your World Healthcare.
