Head of Facilities
Purpose of the role
Overall responsibility for facilities management, Health & Safety regime throughout all premises and oversight of team of 10 post room and canteen staff.
Ultimate responsibility to Managing Director, reporting to Head of Compliance on a day-to-day basis.
Health & Safety
Responsible for all sites H&S and security, including home workers
H&S policies and procedures
Safety notifications and signage
Workplace risk assessments and best practice
DSE, RSI and other specific and required risk assessments
Preventative and reactionary safety maintenance and management
Ensuring all safety certificates are up-to-date
Ensuring compliance with all relevant HSE legislation
Reporting and recording of accidents and near misses
First Aid - ensuring H&S requirements are met including required first aid staff and training
Lifts maintenance and inspection reports
Building alarm maintenance, testing and monitoring
Fire - ensuring all H&S requirements are met including required fire wardens and training
Fire action and evacuation - testing and recording
Fire alarm - maintenance and testing
Fire extinguishers - maintenance and review
Visitor/work placement/young person's risk assessments and induction training
Office insurance - liability and cover
Ensuring the company is insurance compliant
Ensuring all appliances are safe and maintained
Replacement and disposal of faulty/broken items
Updating of literature, information and emergency folder relating to H&S
Liaise with all relevant agencies and bodies
Pest control and any other issues arising as required
Ensure compliance with H&S legislation and requirements
Office cleaning - contract and maintenance/ad hocs
Electrics and PAT testing
Electricity supply and circuit testing
General plumbing - on-going repair and maintenance
Heating and Air Conditioning
Gas - contract and maintenance/inspection
Boiler - contract and maintenance/inspection
Water coolers monitoring and maintenance
Waste management
Building fixtures and fittings (including doors, windows, roof, cladding, car park, etc.)
Window cleaning
Canteen and kitchen facilities - H&S legislation, maintenance and staffing
Gardening requirements
Lift maintenance and inspection
Key holders - monitoring and security
CCTV - policy, security and monitoring
Generator - contract and maintenance/inspection
Sanitary supplies and toilet facilities
Recycling materials and environmental issues ongoing/arising
Franking machines/scales (PM House, Liverpool and Maidenhead - contracts, service and maintenance)
Monitoring of postal services to ensure continuity of service and best value
Royal Mail and franking machine supplier - issues arising
Banking arrangements and safety of staff/holiday cover
Archiving arrangements and monitoring/storage systems
Stand-alone projects and any other issues arising
Oversight of team of 10 staff - post room and canteen
Holiday approvals and holiday cover
Absence reporting and monitoring/back to work interviews
Appraisals and Salary Review
Agency staff and contracting
Person Specification
Good organisational and communication skills. Attention to detail along with longer term strategic thinking.
Previous experience in sizeable, multi-office facilities role desirable.
H&S/ISO qualifications desirable. Occasional travel required (1 - 2 days every 6 months)
