Job Title: Receptionist

Location: Lewes

Salary: GBP9.63 per hour - GBP10.19 per hour depending on experience

Part time, Tuesday and Thursday's 09:00-17:00 with an occasional third day when required

Temporary assignment initially for 3 months with potential to go permanent

Our client based in Lewes is looking to recruit a Receptionist/Administrator to provide a full reception and telephonist service for their Lewes (Head) Office & carry out general office duties, clerical and administrative support as required.

Responsibilities

To provide an effective and efficient reception and telephone service for the Head Office.
To answer general queries regarding the clients services; directing calls to the appropriate person/department, as necessary.
To receive visitors, ensuring that they sign into the visitors' book and also sign out on departure. Provide guidance and support to ensure that all visitors reach their destination within the building and can make the most productive use of their time.
To deal professionally, fairly and effectively with a range of clients, both on the telephone and in person, some of who may have challenging behaviour and to seek appropriate support in accordance with the circumstances and office procedures.
To take and pass on messages for staff from all divisions across the organisation
Opening and distributing post. Franking, organising and addressing outgoing post, updating franking machine as and when needed.
Ensuring outgoing courier deliveries are timely and secure: ensuring payment available for clients on return (where applicable). Distributing incoming courier post.
To manage the meeting room bookings and covid staff attendance booking system
To take payment for Sensory Room users, Book Club and ad hoc fund raising activities (i.e. raffle). To use the till in accordance with office cash handling policies & procedures. To record Sensory Room attendance and payment using Excel and Outlook.
To take bookings and answer general queries on the Sensory Room. To act as key contact for and be responsive to requests from Sensory Room users. To collate and maintain contact records for Sensory Room users.
To manage the parking spaces available at Bell Lane for both staff and external visitors.
To maintain computer records and systems, including room bookings.
To maintain the staff signing in system, visitors' book, staff name board and pigeonholes.
To maintain up to date telephone extension records on the Source
Updating and distributing the circulation of publications.
Operate office equipment: laminator, fax, franking machine and photocopier and monitor/raise any faults with the Office Manager.
Keep reception manual updated.
To act as a key contact for staffHealth & Safety

To assist with Fire Alarm testing, fire drills and evacuation procedure
To comply with procedures relating to the workplace by being alert to safety and security issues in relation to the reception and interview areas.Administration

Provide an effective administration service both to staff based at Bell Lane and other areas of the Association as and when required.
To maintain, retrieve and collate data regarding usage of the building.
Photocopying duties, producing signs, laminating & binding documents. Producing and printing literature (booklets/leaflets/posters etc.) on request, using the in house photocopier.Requirements

Excellent communication skills and ability to demonstrate confident and professional manner.
Proven administration experience in an office environment
Excellent organisational skills.
IT Skills - Intermediate level of Microsoft packages
Ability to multi task and work in fast pace office environment.
Effective and flexible team member
