Legal PA, Personal Assistant required for a permanent position in a Corporate Legal Team based in Newcastle

Your new role

You will be responsible for providing outstanding service to the firm's clients, supporting partners and fee earners. Taking an active interest in the internal and external clients' needs, you will provide innovative solutions and methodology to ensure their needs are met. You will be supporting the Corporate team.

Your duties within this role will include:

Project Coordination

Setting up processes for client matters and distributing and coordinating relevant administration
Support partners, fee earners and marketing teams with the preparation of pitches, presentations and events
Actively seek to improve existing processes
Client Relationship Management

Ensure all correspondence is received and appropriately actioned
Utilise the Client Relationship Management system (InterAction) ensuring it is kept up to date with current client information
Communicate on behalf of partners and fee earners via telephone, email, letters and ace-to-face
Arrange client meetings

Take incoming telephone calls, directing them appropriately or taking and relaying messages accurately
Liaise internally across teams to ensure all communication is received and appropriately actioned

Ensure time-recording is accurate and up to date
Liaise with the finance team in relation to invoices, expenses, accounts and billing
Process invoices and expenses on Chrome River
Produce reports on finance and time-recording

Take responsibility for room booking and meeting management
Diary management and coordination ensuring partners and fee earners are aware of their meeting commitments
Ensure travel booking is completed and clearly communicated in advance
Arrange for files to be opened, closed and maintained
Supervise administrative team in their completion of admin tasks
What you'll need to succeed

Previous experience as a Legal PA is an essential pre-requisite for this role. In addition to this, you will have an accurate typing speed of 65+WPM, experience of Practice Management Systems, excellent communication skills and strong administrative skills. Experience in Corporate Legal is highly advantageous.
