JOB TITLE: Secretary/Admin Support

LOCATION: Location: Blended working approach with a combination of office based , home working and as a mobile resource as and when required. Office locations can include Sellafield, Whitehaven and Lillyhall.
RATE: GBP 10.92 Per Hour Paye

DURATION: 12 Month Contract

37 Hours per week Monday - Friday
ESSENTIAL SKILLS
- Previous Secretarial/Administration Experience
- Previous Experience of working with the Nuclear Industry would be ideal but not essential
- Current security clearance of have the ability to obtian this
- Excellent planning and organisational skills
- Excellent communication skills (written and verbal
- Self-Motivated (able to work unsupervised and on own initiative)
- Excellent IT skills including knowledge of Microsoft Office Suite and Outlook

JOB PURPOSE / DESCRIPTION
The successful applicant will provide Secretarial and Administration Service to a Head of Dept / other managers within Admin Services customer base.
The Secretary will be responsible for but not limited to the following day to day duties:

- Act as first point of contact for any queries either in person or telephone
- Act as first point of contact to Managers office, dealing with issues yourself and delegating to appropriate manager/s where possible.
- Keep up to date with delegated actions where necessary and maintaining good contacts with internal and external customers.
- Organise internal and external Meetings / Conferences and visits and ensure the Managers electronic diary is up to date and accurate at all times
- Organise, prioritise, delegation (where appropriate) and distribution of mail (electronic or paper).
- Manage and Monitor Managers Actions, using 'action tracking database', keeping manager updated with progress on a regular and timely basis.
- Attend meetings and take minutes and actions.
- Monitor actions and ensure all meeting associated documents are distributed on time.
- Arrange travel and accommodation and ensure Managers are fully aware of arrangements.
- Produce documents with confidentiality and a high degree of accuracy, speed and efficiency following Company templates
- Undertake Filing, Photocopying, Archiving, Plant Document Support and Annual Leave Database etc as necessary.
- Provide secretarial cover for Managers as required by the business (including Directors) during periods of absence - providing a flexible and agile service.
