Our dynamic and innovative client, based close to the Herefordshire/Shropshire border, are experiencing sustained and continuing growth and are now seeking a driven, enthusiastic, and experienced administrator to lead the administrative function of their expanding business.
The successful candidate will be proactive, organised, and logical with the ability to recognise and act upon business opportunities. As a growing brand, our client is seeking a candidate who is eager to contribute and become a vital part of their ongoing journey within the food & drink industry.
The main purpose of this role is to organise and deliver day to day administrative and clerical duties, working alongside and in support of the managing director as part of a small, hardworking team. Our client encourages a collaborative and team orientated culture in which everyone contributes to the development of the business, and therefore additional duties may be required to fulfil business requirements.
Main responsibilities:
* Responsible for managing the supply chain administrative process by liaising effectively with other departments, processing stock entries and deductions, and ordering supplies as necessary
* Dealing with all telephone and email enquiries, using the company email system, triaging and responding as necessary, to build and maintain good relations with customers and suppliers
* Manage diary and task list of the managing director
* Liaise closely with other departments such as sales, production, and marketing
* Simple finance duties including processing invoices and completing daily reconciliation of income and expenditure
* Produce purchase orders, oversee receipt of goods and chase overdue deliveries
* Maintain bills of materials and costing information, using MS Excel spreadsheets
* Maintain up to date records such as contact details for suppliers and part numbers/specifications
* Receive and process orders directly to customers and to trade by email, telephone, and the company website, and despatching directly or forwarding to local distributor as appropriate
* Dealing with customer queries/returns as necessary
* Maintaining a database of trade and direct to customer sales on Mail chimp
* Oversee the routine arrangements for maintenance and operation of the premises
* Produce, edit and maintain company documents, including procedures and schedules
* Maintain the records necessary for compliance with relevant regulations
* Creates and maintains office filing systems, and takes responsibility for ordering and maintaining stock of stationery and minor items of equipment
* Leads planning of outside events including keeping diaries, arranging appointments, staff rotas, stock rotas etc to enable successful delivery of events
* Occasionally assisting the production/warehouse team in handling orders and deliveries during busy times
Person specification:
* Organised, good time management with the ability to efficiently plan own and others workload
* Able to keep accurate and up to date records, both paper and computerised
* Able to quickly and accurately fact find on a range of issues and report to MD with suggested course of action or act on behalf of MD where appropriate
* Able to adapt working style according to situation and requirement
* Intermediate IT Skills with MS Word and Excel including mail merge, designing worksheets and knowledge of basic formulae
* Knowledge of online accounting/invoicing systems (QuickBooks)
* At least two years' experience as a frontline administrator/PA/Office Manager
* Proven experience of planning and organising tasks and projects
* Experience of drafting correspondence and documents for sign off, with appropriate level of competence in English language
* Experience of working with clients both face to face, phone, and email
* Any prior knowledge of administering warehouse management, production or manufacturing processes would be highly desirable
* Training will be provided as necessary
Although this is a part time role currently offering 25 hours per week, candidates looking for further hours are encouraged to apply as opportunities exist for additional hours.
Working hours: 5 hours per day, Monday to Friday
Salary: GBP20k - GBP23k, pro rata, depending on experience
Holiday allowance: 28 days including bank holidays
