As a Finance Officer, you will be required to report to the Financial Controller and undertake the following duties:

- Process routine financial transactions
- Maintain payroll systems to meet all requirements using Sage Payroll and process all monthly payments
- Assist colleagues with financial administration
- Gather and organise information for financial management
- Adhoc duties as required by the Financial Controller
- Maintain confidentiality where appropriate in respect of welfare clients, employees, donors and funders.
- Operate a petty cash system across several sites, ensuring that cash balances are reconciled, and expenditure is recorded.
- Prepare analyses and summaries to aid the preparation of monthly management accounts, particularly in relation to income and cash received.

The successful candidate will

- Have previous experience in a financial role (Charity or social welfare experience, as an employee or volunteer is desirable)
- Be experienced in Microsoft Word, Excel and Outlook is essential. The use of Sage Payroll or similar is highly desirable.
- Have a willingness to acquire new skills
- GCSE qualifications in English and Maths
- Be reliable, responsible and flexible within all aspects of the role as Finance Officer
- Be able to build professional relationships with colleagues, suppliers, customers and welfare clients
- Be an energetic and enthusiastic team player

JOB PURPOSE



* To jointly administer the school finance function.
* To provide direct support to the Headteacher in the maternity absence of the School Business Manager.
* To ensure that all financial transactions meet guidelines set by LGGS.
* To maintain strict confidentiality ensuring no unauthorised information is passed from the finance office.





FINANCIAL – Public and Private Funds



* To ensure the correct academy income is received from the EFA and promptly entered onto SIMS FMS
* To raise orders and invoices using SIMS FMS (or oversee Finance Assistant).
* To ensure all income and expenditure is coded appropriately on the FMS system.

* To arrange for signature by budget holder for receipt of items before payment is authorised.
* To check all amounts and VAT on invoices have been calculated correctly.
* To ensure that all payments are entered onto the financial system and correctly recorded against the appropriate budget heading.
* To administer BACS payments and cheque runs.
* To negotiate rates with suppliers for purchase of goods/services and ensure that all orders are placed with the most competitive supplier.
* To produce a bank reconciliation for some or all balances held by banks on behalf of the school.
* To oversee the administration and banking of all income related to private and charitable funds (up to £500,000 in any one financial year) using the Private Fund Manager system.
* To oversee trips and visits administration, including the Parentmail system.
* To oversee the allocation of additional print credit to students using print manager software (by the Finance Assistant)
* Liaison with Assistant Headteacher re annual curriculum/capitation budgets
* Ensuring correct use of school debit cards and posting cash book journals
* To prepare monthly VAT claims to HMRC.
* To administer funds to students in respect of 16-19 bursary claims.
* To input month end journals e.g. photocopying charges, ICT charges.
* To prepare monthly departmental capitation statements and alert Headteacher of any potential overspending
* To deal with requests under the Assisted Music Purchase Scheme
* To deal with any returned (bounced) payments from bank promptly and tactfully
* To raise invoices for all amounts due to the school, ensure outstanding amounts are correctly received and issue reminders for overdue accounts.
* To monitor expenditure on pupil premium in conjunction with the Headteacher
* To prepare and submit annual charitable returns to The Charity Commission in consultation with the school accountants.
* To prepare and submit Gift Aid claims.
* To book staff onto CPD courses and record the expenditure on the central spreadsheet.



OTHER DUTIES



1 To maintain the asset register.
2 Assist with organising the placement of lockers, deal with lost keys, allocate and charge for 6th form lockers
3 To control the issue of mobile telephones to school staff for educational trips and visits.
4 To participate in the Performance Management System.
5 To ensure that all records both manual and computerised are kept up to date.
6 The post holder will occasionally be required to perform other duties. These duties will be commensurate with the overall objectives of the job description and will be subject to the abilities and experience of the post holder.

- Supervisory experience
- Previous experience in motor trade / garage (helpful but not essential)
