This Property Management Group specialises in the ongoing management of large residential developments, including the effective administration of +£7m of client service charge budgets. Based in Cambridge and with an office in Nottingham, they work across East Anglia, London, the Home Counties, East Midlands and has plans for further growth. The Group also consists of separate Facilities Management, Legal and Surveying businesses, employing over 75 people.

The APM position is a key role in their Estate Management team. You will work in partnership with the Estate Managers to ensure they consistently deliver a high standard of performance (achieving their KPIs) and achieve customer satisfaction. The role has 2 key parts: performing front-line communication with their customers (eg. resolving day to day queries and sending correspondence) and reactive maintenance management.

There are 3 critical success factors on which the success of the chosen candidate will be appraised and they are:

1. Customer service mentality & strong communication skills - They exist because of their customers. As someone who is on the ‘frontline’, you will have a key impact on how their customers perceive the group. Their challenge is to earn their customers’ trust and confidence through their actions. They can do this by: providing accurate and timely information, responding quickly and thoroughly to feedback/issues, ensuring everything is done correctly and to a high standard, and resolving any disputes diplomatically. Always remember that they are in the customer service business, not simply the estate management business.

2. Successful implementation: thorough & accountable - A desire and willingness to systematically and diligently do what needs to be done to ensure key milestones are achieved on time & on budget. To manage estates effectively, everything must be in order and their obligations must be fulfilled. Being accountable is about taking personal responsibility to deliver on your promises, reacting quickly when the situation demands and resolving issues to completion.

3. Business maturity & a ‘can-do’ approach - You will possess business maturity combined with a can-do approach. While there are defined processes to follow, sometimes the best rule is to apply common sense and exercise your good judgement. You will possess this attribute and become an indispensable part of the team.

In addition to these the successful candidate must have:

- A good standard of education is essential.
- A property qualification (eg. IRPM Part 1) would be desirable but is not essential.
- 3 years+ relevant experience. While a background in estate/property management is desirable, your experience could be in another field.
- Customer relationship management: Previous ‘frontline’ contact with customers is essential.
- Systems: Prior experience with software systems such as database management and ordering/invoicing is essential.
- Contractor management: Prior experience with managing contractors is highly desirable.
- Excellent time management
- Excellent communication skills: good letter writing, telephone manner and ability to brief third parties
- Excellent people skills

This property management group, who are currently going through an exciting period of growth, require cleaners, caretakers and gardeners to tend to their prestigious estates across the midlands.

The overall purpose of this job is to be responsible for maintaining the quality standards of various residential estates, keeping communal areas clean and tidy and in a good state of repair.

Duties include but are not limited to:

Cleaning of communal areas:

- Vacuuming/cleaning of communal areas (entrance lobbies, hallways, corridors).
- Adhere to strict timed rotas to complete work as time on site limited.
- Polishing/dusting of internal woodwork/balustrades.
- Cleaning internal windows and door glass.
- Cleaning door furniture and kick plates.
- Checking and cleaning communal lights (internal and external), replacing bulbs and reporting faults where necessary.
- Litter picking the site and keeping bin/recycling stores clean and tidy.
- Sweeping and keeping tidy communal paths, walkways and car parks.
- Pressure washing paths, walkways and car parks.
- Grass cutting and edging of grass areas.
- Weeding flower/shrub beds and borders.
- Pruning and dead heading plants/shrubs (seasonally).

Building Management:

- Collect meter readings for communal utilities.
- Carry out routing emergency system testing to include services such as emergency lighting, fire alarms, smoke vents, etc (for which training will be provided).

Skills / Competencies required:

- Be of a practical nature, ideally with a background in either commercial cleaning, gardening or maintenance.
- Be punctual and be able to follow a routine/rota to ensure high standards are maintained at all times.
- Have good social skills and be able to communicate with colleagues and residents professionally and courteously on a daily basis.
- Be able to identify maintenance or management issues and report these directly to the Facilities General Manager/Estate Manager at head office.
- Be able to complete standard forms to record events on a regular basis (i.e. system testing).
- Be able to work between Monday and Friday, but to be flexible to work additional hours if necessary (i.e. assisting with out of hours emergencies or where additional cover is required).
- Have a positive “can do” attitude to solving problems.
- Be fit and able to carry out the duties required.
- Be legally able to work in the UK.
- Have a full, clean driving licence.

A fully stocked vehicle and all necessary equipment will be supplied where required.
