Business Area - HR, Early Careers

Role: HR Assistant, Early Careers

Location: Glasgow

Reporting to: HR Manager, National Early Career Programs

Hours of work - Monday to Friday, 9:00 - 5:30. However, role requires some flexibility during peak campus attraction periods to attend evening recruitment and vacation scheme events as well as travel to UK universities and our London office.

Department/ Role Overview:

To support the team in attracting and recruiting high calibre graduates and trainees, and assisting with the smooth running of the two-year training and development programme.

Main responsibilities:

Campus attraction and vacation schemes

Organising the production of name badges, brochures and promotional materials for events,
Distribution of promotional items, brochures, print ads and other information to faculties, careers services, law societies and other student groups/events.
Book venues and make travel arrangements for campus action teams and other internal attendees for campus events.
Assist with organising vacation schemes (three per year, December, June and July).
There will be occasions where travel to campus or London will be required to assist in person at events.


Maintain and update Applicant Tracking System (CVmail)
Schedule interviews with candidates and interviewers, to include room booking and tenacious collation of feedback.
Maintain interview and offer tracker
Build and maintain good working relationships with partner interview committee and those fee-earners involved in campus activity
Generate and manage flow of offer documentation.
There may be occasions where travel to campus or London may be required to assist in person at events.

On-boarding and induction

Liaising with the HR transactions team as appropriate.
Organise the production of induction and training packs, including materials for PSC exams at University of Law, name badges, security passes, blackberries for bi-annual two-week trainee induction.
Produce induction and training materials for vacation scheme inductions (three per year).
There may be occasions where travel to campus or London may be required to assist in person at events.

Trainees and future trainees

Use of HR (Fusion) and payroll systems to ensure smooth joining, seat-move, secondment and leaving processes, liaising with the Glasgow HR transactions team as appropriate.

Answering and directing trainee queries. Understanding of and implementation of HR policies.
Run regular standard HR reports such as absence and annual leave.
Record/administrate key milestones such as exams and SRA membership.
Maintain up to date key information/Excel spreadsheets such as future trainee whereabouts, intake and seat move lists
In conjunction with the HR transactions team, assist with organisation and execution of overseas and client assignments.
Manage appraisal process documentation including safe filing.
Manage qualification process and offers documentation.
Manage basic SRA processes such as registration of training contracts and admission documents.
There may be occasions where travel to campus or London may be required to assist in person at events.


Responsible for processing, tracking and reporting of all third party invoices
Promptly answer candidate and other external queries via GR central phone line and email address.

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies.

Essential skills and experience:

Previous experience within a Recruitment Admin/Coordination role
Ideally experienced working within a High Volume recruitment environment
Strong client focus.
Conscientious with strong attention to detail.
Personable and approachable style in order to communicate well at all levels.
Persuasive and confident.
Work well within a team and work autonomously when needed.
Hard working, using initiative to manage own workload, especially at busy times.
Flexible approach.
Proactive approach with a 'can-do' attitude. Able to generate new ideas.
Good knowledge of Microsoft Office (Word, Excel, PowerPoint).
