We are seeking a Legal Secretary for the Civil Litigation team at this small to medium sized legal practice, based in central Exeter. Established for over 100 years, they have 35 - 40 staff, working in five departments. These include 5 Equity Partners and 14 Fee Earners. The role
To assist a Partner, providing effective and efficient secretarial and administrative support, working in a fast-paced environment against tight deadlines. The role may also involve work in other departments when required.
Key responsibilities
Word Processing of correspondence and other documents for clients and third parties.
Undertaking efficient and effective records management, including preparation of documents for clients, courts (bundles, copying, paginating) or other legal purposes.
Handling enquiries from clients and others by telephone, email, correspondence or in person.
Co-ordination of Partner's diary and schedule against key dates and deadlines.
Making client and others' appointments as necessary.
Attending internal/external meetings as required to do so.
Ensuring matters are managed in line with legal and regulatory requirements.
Experience and key skills
Previous secretarial and administrative (preferably legal based) experience in a fast-paced environment.
Be self-motivated, self-organised, resilient and be able to work on own initiative with minimal supervision.
Ability to make effective decisions, through professional judgement and diligence.
Use effective interpersonal skills to work with Solicitors and maintain effective working relationships with other colleagues.
Possess effective planning and prioritisation ability to manage a large workload.
Be structured and systematic in approach to meet deadlines.
Have the ability to be able to communicate effectively and sensitively with a diverse range of people - in writing, by telephone and face to face as required.
Ability to work calmly under pressure, demonstrating dependability and reliability.
Confidence in using required ICT packages and systems - including Word, Excel, PDF and web based portals.
Hours - 9 am to 5.15 pm Monday to Friday (1 hour for lunch)
Holidays - 25 days per year plus Bank Holidays.
Additional leave between Christmas and New Year at the discretion of Partners.
