About the team
The UX Design and Media team is a dedicated, fun, supportive and knowledgeable group of people who work creatively to produce outstanding UK schools products, services and qualification material. We lead on the visual identity across our product range, ensuring brand consistency, producing engaging and innovative designs and rich media assets, which enhance the learning experience. We work in a matrix organisation with people from many job functions working together to create resources and services that are used in the UK Schools and Colleges. This role can be based in Oxford or London.
About the role
We are looking for an energetic and proactive person ideally with a creative media background, to work closely with the team of visual designers, media producers, UX designers and DTP/typesetting specialists. In this role you will be supporting the team in the delivery of our assets for our products and services, tracking and recording the rights, liaising closely with media production companies and studios and providing admin support for this team of creative professionals. The role would suit an individual who is interested in the creative media field and would provide an opportunity to develop an understanding and knowledge of the creative process.
Role Requirements
The Design and Media Acquisition role supports the in house team of product designers, marketing designers, UX designers, media producers, DTP Specialists and typesetters. Areas of focus:
Contract Management
- Assist Designers, UX Designers, Media Producers, DTP specialists and typesetters to raise artwork and media contracts, (audio, video, photography), consent forms as required.
- Track and send contracts as required on behalf of teams
- Ensure contracts are issued prior to commencement of work and signed copies returned and stored.
- Monitor return of contracts and follow up on any outstanding.
- Ensure all asset contracts, (artwork, photo, audio, video) are tracked, recorded and updated on the appropriate databases.
- Any queries received regarding the contracts from the supplier, to bring to the attention of the commissioning designer and or media producer.
Finance
- Process new vendor requests on Oracle, when needed
- When required, raise Purchase Order requisitions in Oracle on behalf of Designers, UX designers, Media Producers, DTP Specialists, Typesetters.
- Receipt goods or services in Oracle on instruction of Designers, UX designers, Media Producers, DTP Specialists, Typesetters as required.
Events
- Provide support to media producers in booking locations, models, travel and accommodation and sourcing props for video/photo shoots.
- Ensure correct location and model release forms are issued and returned, prior to commencement of work.
- Support UX designers in setting up user testing sessions. Sourcing users, managing logistics.
- Administration of incentives for research/test participants.
General Admin Support
- Provide continuation within the department, when media producers, visual designers, UX designers, DTP Specialists and typesetters are out of the office on business.
- Assist with arrangements for departmental away days, team planning days, large meetings with suppliers.

- Good planning skills;
- A flexible approach to work and ability to use own initiative as well as work as part of a team;
- Competent in Word, Excel, PowerPoint, Google Drive, VMR, Oracle;
- A willingness to learn, use and become proficient in new systems and databases.
Desirable:
- Media enthusiast who keeps up with the trends and changes within the creative Media industry;
- Creative media background and understanding of the practical application of copyright in the creative industries;
- Understanding of the audio and video rights clearance;
- Mac skills, including working knowledge of Photoshop;
- Photography and or video experience.
