ADMINISTRATOR / SCHEDULER

£18,000 - £20,000 pa

Experienced Office Administrator who has previously coordinated service calls to a team of field based engineers. You will ideally have experience in scheduling and customer service, demonstrating effective communication skills and the ability to manage work priorities.

MAIN DUTIES:

To raise customer job requests, throughout the day, in the scheduling application and assign to engineers. Effectively schedule the engineer diaries daily to ensure resources are correctly allocated. To monitor the scheduling application to ensure engineers are attending to and completing jobs in a timely manner. Liaise with engineers regarding further visit works and schedule into engineers’ diaries. Liaise with customers regarding engineer visits and address any queries, providing resolution and investigation with excellent customer service. To daily update the job status on the customer portal. To issue the weekly vehicle check list to engineers, monitoring the completed return and advising any defects to the directors. Set the out of hours phone to the correct engineer per the rota. Raise draft invoices for completed jobs ensuring accuracy and in a timely manner. Enter supplier invoices onto Sage accounts ensuring accuracy and in a timely manner.

SKILLS AND EXPERIENCE REQUIRED:

A minimum of 5 x GCSE’s Grade A – C (Including Math’s & English). 3 years experience of Administration/Scheduling.

Excellent organisational skills. Exceptional telephone manner. Good PC skills, knowledge of Windows, Microsoft Office 365 and scheduling and planning applications. The ability to communicate clearly and concisely in verbal and written form. Excellent attention to detail. The ability to work well under pressure. To promote a positive and professional attitude at all times. Self- motivated and able to work under own initiative as well as within a team. Willing to undertake further training/development within the post as required.
