The role of Business Support Officer will be based within NEA Cymru which is the operating centre for all of NEA's activities in Wales. The postholder will provide full administrative support assisting in the successful delivery of NEA Cymru's work programme, training courses, project and stakeholder events, including the identification and booking of venues and facilities, dealing with bookings and enquiries from participants, and liaising with delegates, stakeholders, tutors and external consultants as appropriate. They will maintain up-to-date databases and hard-copy filing systems of NEA Cymru's training and examination records, project and stakeholder events, in accordance with procedures and guidelines. The post holder will maintain NEA's quality assurance, ISO9001 status, maintain NEA Cymru's contact databases and ensure that they are up to date liaising with colleagues as appropriate, maintain NEA Cymru's office facilities and systems for security, equipment and supplies, and administer the office petty cash system. The post holder will co-ordinate travel and accommodation arrangements. They will assist in ensuring that NEA's office facilities requirements are met within the budgets provided, and that proper Health and Safety standards are maintained. The post holder will undertake systems back up routines and field calls to IT support providers. The post holder will maintain a log of publications and resources and provide a support service, including dealing with general enquiries and requests for information. The post holder will provide secretarial services, including minutes of meetings, taking messages, making appointments, maintaining diaries, preparing papers for meetings and general filing for NEA Cymru staff. They will assist with reception duties for NEA Cymru - answer telephone calls to NEA Cymru, direct them to the relevant staff member(s) and take messages as required. They will ensure that visitors to the office are welcomed, signed into the office attendance list, and the relevant member of staff informed of their arrival.
