Administrative Support Officer
Our client in the Darlington Area is looking for 8 staff to join their busy team. You will provide administrative support to DBS staff in the relevant directorate. You will manage a database of information, deal with routine correspondence, arrange meetings including travel and catering and provide administrative support. You will work in accordance with DBS policies and procedures and within agreed time frames.
To carry out general administrative duties in support of teams across all areas of the business. Undertaking duties such as:
* arrange meetings and booking rooms, catering, travel and accommodation
* word processing / database managements
* post - sift incoming mail for the team and linking appropriately, seeking advise as necessary. Despatch all team outgoing mail and linking to the appropriate departments.
* Keep an accurate record of all incoming and outgoing post
- scanning documents
- preliminary information gathering
- filing and maintenance of filing registry
- maintain stationary supplies
* To ensure correspondence is recorded promptly and effectively and ensure that necessary files are created and contain accurate and appropriate information.
* Manage a database of information for the appropriate team and highlight areas where action is needed.
* Issue routine correspondence and papers, ranging from letters to individuals through to sharing identified information with organisations such as the Home Office.
* Together with colleagues, proactively monitor and maintain the administration manuals and desk instructions, updating where necessary and incorporating any policy or procedure amendments.
* Reply to correspondence, make and answer telephone calls to/from internal staff and external partners, referring on to the appropriate officer if necessary.
* Take responsibility for the co-ordinate own workload.
* Must be experienced in the use of Microsoft Office Word, PowerPoint and Exc
