Office Manager / FMCG Operations Support / Administrator / Admin
Office Manager with at least 2-3 years' experience in FMCG Operations and/or Office Management is needed for our client, a leading Kefir producer - a very fast growing, ethical business with a premium health food brand based in London. Their Kefir range is made with only the best of British milk and live cultures, using centuries-old authentic recipes. They supply to top retailers, both specialist organic/healthy and mainstream, with their products enjoying the widest press coverage and a surge in the UK public awareness of fermented goods generally and Kefir in particular.
The Office Manager role is central to business, working directly with the Operations Manager and the rest of the Management Team, for smooth and efficient running of the office generally and key aspects of business operations specifically. It is a key role within their small and dynamic team.
Responsibilities include:
- Ensuring smooth running of the office including general office admin (booking meeting rooms, post, stationery & office equipment orders)
- Sales Order management + order/delivery related customer service
- Issuing of Delivery paperwork to their organic production base
- Communication with their 3rd party logistics provider/warehouse (orders, pre delivery advice, goods in reports, despatch reports, stock reports, proof of delivery)
- Investigating and recording delivery discrepancies (logistics provider, customers, suppliers)
- Updating delivery shortage claims log and regular follow ups until issue is resolved
- Updating info and maintaining access to customer online portals
- Downloading/saving forecasts from customer portals
- Transport/courier bookings and other ad hoc operational tasks as required
- Managing relationship with serviced office management
- Answering the phone and taking messages
- Looking after IT in office (depending on experience)
An ideal candidate will have / be:
- Min 2-3 years' experience (FMCG operations and / or office management)
- An excellent communicator with great organisational skills
- Outstanding attention to detail
- Effective in time management and self-discipline
- Pro-active, results-focused, and keen to take initiative
- Ability to work under pressure
- Highly capable using MS Office (in particular ExCel)
Type: Permanent, Full Time
Salary: £24,000 - £26,000 per annum
