Key responsibilities:

Pro-active and appropriate use of firm's in-house Document Production team and taking responsibility for ensuring the production is of high quality and in line with the firm's house-styles (digital dictation, manuscript and copy typing may be called upon)
Managing document printing (engrossment, general printing and photocopying), collation, production and copying, ensuring the appropriate resources are used where possible
Assisting legal advisers with electronic filing in line with Eversheds Sutherland guidelines
Proactively manage file closure/archiving/scheduling
Dealing with incoming telephone calls in a professional and efficient manner, taking and passing on clear messages and assist in answering any non-legal queries; delivering a positive client experience
Management of emails and correspondence
Proactive diary management, organising internal and external meetings
Preparation and submission of legal advisers' expense claims; securing receipts and information following client meetings
Providing a full financial administration service to support legal advisers; preparing bills and liaising with the Finance team and dealing with arising queries and issues
Client and Business Development support - contributing to the development of the business
Working as part of a wider secretarial team; supporting and covering for other secretaries and their legal advisers as needed
General administration (including room bookings, expenses, responding to central and Practice Group initiatives/requests)

Skills and experience:

The ideal candidate will have some level of legal secretarial training and have experience of working in a busy legal team. It is anticipated that candidates applying for this role will have had at least a year of administrative experience and will now be looking for that step up into a secretarial role.

It is expected that, with supervision from the secretarial team, the trainee legal secretary will be able to aim towards proactively support a team of legal advisers and produce high quality documents, manage extremely busy diaries, arrange complex travel itineraries and have an enthusiastic approach to dealing with day to day tasks and longer term initiatives/projects.
