Managing our Ministers' busy diaries is one of the most important jobs in the Department. You will need to be well-organised, have excellent communication skills, and be able to think strategically to forward-plan and manage competing demands. You will develop and lead on putting in place robust processes and systems, working with colleagues across the Department to understand what works well, and how things can be improved. Working on the diary can be unpredictable, and you will need to react to fast-moving situations, but it is crucial that the diary manager remains calm and professional, acting as an ambassador for the Minister and Department with our most senior stakeholders.

Job Description

You will need to be able to learn quickly, picking up new processes, knowledge of the Department and building networks. You will also be able to take initiative and use good judgement to prioritise what the minister should be focussing on, and be ready to learn quickly how policy and parliament drive Ministers' priorities. You will often act as representatives of the Minister to the wider Department and public, and work directly with senior stakeholders, so it is imperative that you are able to present a credible and professional image. You will need to have excellent written and verbal communication skills, be extremely organised and be polite and professional at all times. You will have the opportunity to manage complex processes and make improvements to the Department's working practices.

You will also have the opportunity to be part of a fast-paced, positive and inclusive team. You will have the opportunity to develop a high-level strategic understanding of the Department, its policies and how Whitehall works. You will also build wide networks of relationships, both with internal and external stakeholders.

Competencies
You will be asked to supply evidence of the following competencies when you apply.

Collaborating and partnering. Working in the private office requires you to work closely with officials in the department and with stakeholders across Whitehall to deliver the Minister's objectives. You will need to build strong working relationships to overcome challenging situations.

Making Effective Decisions. Private Offices handle a high volume of information and you will need to be able to anticipate and handle conflicting requests and priorities. You will need to assess information, liaising with colleagues as needed, and make effective decisions about how work should be prioritised and dealt with to meet ministerial and Departmental priorities.

Leading and communicating. Working in private office means that on any given day you will have to interact with a wide range of different audiences, including internally to officials, members of the public, senior business stakeholders and other ministers. You will need to be able to adapt your style to deliver objectives on behalf of your minister while demonstrating Civil Service values.

Delivering at Pace. Private Offices receive a great deal of information that needs handling to tight deadlines. You will need to be organised and flexible to cope with competing pressures, including prioritising workloads to meet deadlines. You will need to be able deal promptly with diary invitations and meeting requests, ensuring that the diary supports the Minister to deliver his/her business and priorities.

Previous experience of PA or diary support would be an advantage, as would knowledge or interest in Parliament.
