Legal Support Assistant - Divorce and Family Team

My client currently has a vacancy for a full-time Legal Support Assistant to join their busy and well respected Divorce and Family Team in their brand new Colchester office.
You will join a busy and highly regarded team who provides specialist advice and guides their clients through the entire divorce and separation process (including Mediation and Collaborative Law) and all aspects of living together.

• Financial Remedy
• Child Arrangements
• Occupation/Non-Molestation Orders
• TOLATA
• Schedule 1 Children Act
• Pre and Post Marital or Pre and Post Civil Partnership Agreements
• Cohabitee Agreements
• Separation Agreements

The Candidate
Looking for an enthusiastic applicant to join the team and hit the ground running to contribute towards delivering proactive legal support to our Fee Earning team.
Previous legal support/secretarial experience within a Divorce and Family team is essential.

Duties and Responsibilities
Organisational Support
• Effective & productive diary management and awareness of Fee Earners' workloads to plan ahead, with minimal supervision.
• Organises daily routine to ensure that correspondence, documents and instructions dictated or given by your Fee Earners are completed accurately and on time.
• Dealing with post, internal and external, taking steps to action as necessary.
• Retains up to date knowledge and understanding of Fee Earners matters and workload to enable a proactive support service, providing clients with realistic expectations of Fee Earners availability.
• Email management and preparation of draft replies, sending on behalf of Fee Earners when required.
• Processing of relevant documents on time with accuracy and minimal supervision.
• Checks files and chases documents where necessary, creating follow up reminders where appropriate.
• Takes responsibility for enquiries to ensure queries are dealt with in the first instance.
• Conducts research (online or otherwise) for Fee Earner when required.
• Arranges travel and any other activities on behalf of others, where appropriate (team training, meetings, client meetings, car parking).

Client Relationship and Business Development
• Acts as a first point of contact for Fee Earners, providing a first-rate service to clients, both internal and external, in a timely and professional manner, presenting a positive image of my client at all times.
• Provides a first-rate telephone support service and actively manages enquiries.
• Recognises, respects and honours client confidentiality at all times.
• Organises business development meetings and events for Fee Earners and assists in the production of business development materials in liaison with the Marketing team.

Document Production
• Creates typed work of a high quality, formatting in accordance with house style, aware of the layout of documents, forms and letters and produces these with accuracy and at a high speed.
• Proof reads all documents for spelling, grammar and sense, querying wording where appropriate.
• Uses initiative to compose drafts and send correspondence requiring focussed concentration and attention to detail on behalf of Fee Earners.
• Adopts a proactive approach and works with Fee Earners effectively, to maintain regular file management.

Financial Risk Management
• Prepares bills (including standard bill narratives) and bill breakdowns with minimal supervision, as required by Fee Earners.
• Applies the Firm's procedures in billing, AML and Debt Management, checking and chasing as necessary.
• Alerts Fee Earners of unpaid bills, monitoring and chasing payments for Age Debts.
• Deals with Time Recording matters as required by Fee Earners.

The ideal candidate will have:
• Previous legal support/secretarial experience within a Divorce and Family team is essential;
• Excellent timekeeping and communication skills, both verbal and written;
• Strong typing skills;
• A professional approach to work;
• A positive, friendly and helpful approach to being a team player;
• Excellent organisational skills and the ability to prioritise;
• Strong attention to detail;
• The ability to work as part of a team as well as on their own;
• IT literacy skills, proficient in the use of Microsoft Office applications (Word, Excel, Outlook)
