Due to continued success and growth, our client are is now looking to recruit an enthusiastic and highly organised Office Assistant to join the team. This is a full time role working Monday - Friday, 37.5hrs per week, GBP8 per hour.

Who are our client looking for?

As the ideal Office Assistant, you will be able to demonstrate a good knowledge of customer service and some experience within a similar role. You will also require experience / knowledge of:

• PA, Secretary and Admin
• Working in a fast paced environment
• Previous basic experience using Adobe InDesign software
• Experience using Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Experience using Internet Explorer

What will I be responsible for?

Joining the team as Office Assistant, you will be responsible for providing outstanding customer service in the Hotels. On a daily basis, this will involve:

• Meet and greet all visitors to the Directors` Office
• Field telephone calls into the Directors` Office; handling queries, messages and requests
• Manage the office / boardroom and directors diaries to plan and schedule meetings including set up and clear down of boardroom
• Provide typing/word processing services to the Directors (e.g. minutes, reports, letters, etc.)
• Undertake general administrative duties, including filing, faxing, photocopy, post handling, scanning, shredding etc.
• Organise and co-ordinate travel arrangements for Directors and other staff members (e.g. flights and accommodation)
• Organise ordering of staff uniforms
• Manage the Group mobile phone contracts (with the support of the relevant Director)
• Occasional requirement to take notes/minutes during meetings
• Responding to messages and enquiries received via social media regarding rooms, pricing and other queries (Facebook) and posting engaging content, images & captions on the companies Instagram account
• Ordering items for the restaurants & bars as and when needed including loyalty cards, stamps, stickers, coasters etc.
• Assisting with the re-ordering of printed company stationary for various departments within the company such as compliment slips, letterheads, receipt books, vouchers, forms, invoices, tickets, reservation slips, feedback forms, brochures, leaflets etc.
