Job Title: Receptionist
Location: Manchester, M15
Salary: £16,176 per annum, pro-rata (actual salary £14,396)
Closing date: 10am on Friday 28 July 2017
Position: This is a full-time post working 37 hours per week, Monday to Thursday 8.30am to 5.00pm and Friday 8.30am to 4.30pm, term-time only plus three weeks (0.89FTE). You will however, on occasions, be required to work outside these hours to meet the requirements of the college.

The Sixth Form College is located in Hulme, a mile south of the centre of Manchester and very close to Manchester University and Manchester Metropolitan University, with excellent transport links. It is a part of an international network of Catholic schools and colleges.
Main Duties and Responsibilities:
- To provide an effective reception service to staff, students and visitors, ensuring that all queries are dealt with promptly and in a professional manner.
- To ensure all telephone calls are dealt with in a professional manner and passed to the appropriate person.
- To greet all external visitors to the college and liaise with appropriate staff.
- To ensure all incoming mail and deliveries are dealt with appropriately.
- To record student absences using the electronic absence system.
- To maintain and update the meeting room/ minibus booking / phone loaning system.
- To ensure that all outgoing mail is franked and ready for collection as appropriate.
- To keep electronic records of student lift passes issued and liaise with Head of Halls to ensure risk assessments are carried out. To speak with IT to ensure that there are sufficient lift passes available.
- Using UnitE, produce confirmation of study letters for current and past students.
- To record staff training using the college database.
- To keep track of stationery stock levels.
- To provide a range of administrative functions including: assisting and producing, where applicable, mail merge letters, PowerPoint presentations, inputting data and spreadsheet tasks.
- To advise or guide new starters working in the college office on standard information or procedures.
- To become familiar with the services provided by the office in order to be able to deal with enquiries and requests for information from both internal and external enquirers.
- To be conversant with the college database and to operate this when required.
- To prioritise and allocate in the most efficient and effective way, all incoming work and have flexibility and a readiness to undertake a wide range of tasks.
- To review and maintain administrative procedures to ensure compliance with college procedures and adherence to data protection legislation.
- To further develop an efficient administrative support system, realising and deploying the potential of IT and other technologies in the administration of the College.
- Assist with the collation/preparation of materials required for college events/ roadshows.
- To assist with evening/weekend activities and functions and other events as required.
- Seek to improve all existing practices and constantly work towards more efficient and consistent attendance procedures for all, including teaching staff, Heads of Department, Senior Management,
Person Specification:
- Recent substantial experience of providing a Reception service
- Experience of working in an educational establishment (desirable)
- Proficiency in working with standard office applications such as MS Word, Excel and Outlook
- High level of competency producing letters and mail merge documents (desirable)
- Excellent organisational and administrative skills
- Excellent telephone manner
- Excellent customer service skills
- The ability to operate a computerised administrative system / database
- Recent frequent experience of using unit-e and competent at extracting data and running reports as necessary
- Ability to prioritise and multitask
- Ability to manage own workload
- The ability to maintain quality and organisational procedures for the efficient running of the College office
- The ability to recognise and appreciate the confidential nature of some work undertaken
- Excellent attention to detail
- Evidence of commitment to Continuous Professional Development
- Educated to degree level or equivalent, or substantial relevant experience that demonstrates a high order of literacy, numeracy and analytical skills.
- A relevant administrative qualification or evidence of formal training (desirable)
- Ability to work outside normal office hours on occasions
