This role is a job share. 

The successful candidate will be required to work two days per week (Tuesday and Thursday 8.30 - 17.30)

Purpose of job:

- To ensure a professional and courteous reception of all visitors to the office

- Answer phone calls and take messages

Summary of Duties.

Answer phones / Check main voicemail each morning

Open, date stamp, log & distribute post

Welcome visitors and make drinks

Diary Maintenance

Stationary ordering + maintenance of office machines

Keep the office fully stocked – tea, coffee, etc.

Motor Fleet control + monitor fuel usage. Book in services, MOT, vehicle repairs, keep detailed records of the costs for each vehicle

Responsible for site staff First Aid and Forklift licenses and all other training certificates in terms of admin

Control of Subcontractors insurance information

Help with Home Owner Manuals, when required

Typing for the Managers

Scanning/Filing for multiple departments. Updating electronic records

Maintenance of company Safe & Keys

Phone maintenance and phone list maintenance

Maintaining front door keys and access cards

Co-ordinate and manage the cleaning of Head Office

Assist with general running of the office

1st aid at office

Christmas party and Christmas related tasks. Cards and internal and external gifts

Emergency contact lists for staff with Holly

Maintenance of archive list and the archive room

Accounts holiday cover-entering invoices and cheques into paying book

Any other ad-hoc duties as required

Knowledge, experience & skills required
