IFA Administration Supervisor

Our client working in the financial sector is looking for an Administration Supervisor to join their team on a permanent staff basis. The role will be based in Ellesmere Port, however may include very occasional travel to other UK offices. Prior Financial Services experience / IFA background is essential.

Salary figures are negotiable and candidates must have prior experience in managerial / supervisory roles - ideally within the financial sector (but not esssential) - and have evidenced experience performing all or many of the following duties and responsibilities.

- Supervising financial planning administration employees at various office locations ensuring efficiency, prioritising/monitoring the workload (where feasible), implementing procedures and ensuring they are followed, training new members of the team and escalating any issues to the Operations Director where appropriate
- Visiting branches where necessary to facilitate the tasks above
- Deal with or delegate the following in a timely and compliant manner:
Emails/Post/Activity Entries; New Business Applications; Follow applications through to issue and payment; Policy documentation; Non-online fund switches/transfers/maturities/surrenders/death claims; Diarise and produce client reviews/ valuations where necessary; Issue annual statements to clients; Recording replacement business for the register; Maintain monthly record of time spent on work; Any other routine administration servicing
- Liaising with product providers, clients and advisors as necessary
- Inputting new business and ensuring that new and existing records both computerised and manual, are kept up to date
- Filing in accordance with in-house paperless office procedures
- Assist with recruitment and training of new admin staff where appropriate
- Conduct appraisals for staff where relevant
- Provide general administrative/clerical and supervisory support as required
- Answering telephone and re-directing calls as required
- Greeting individual callers and dealing with as required
- Follow internal Client Reporting Online service procedures including maintenance of CRO spreadsheet, client records, updating CRO processs notes, running reports at required intervals
- Liaise with colleagues, clients, product providers and any other relevant 3rd parties regarding the maintenance and successful running of the CRO service and report any ongoing issues to the Ops Director
