Outline of role:
Reconcile the monthly payroll including the liabilities due to HMRC ensuring payment deadlines are met.
Day To Day Duties
Complete the final reconciliation of the payroll year-to-date values of all liabilities due to HMRC.
Prepare, produce and submit by the required deadlines all end-of-year documentation: P35 Employers Annual
Return, P14 & P60 End of Year Summary, P11d Expenses & Benefits, P11d (b) Return of Class 1A liability on P11d
items for local and Expat payrolls, PSA, Class 1A and Class 1B returns and ensure payment deadlines and liabilities are met.
Compile all the relevant data required to complete these processes in full, run nominal ledger reports, maintain and update spreadsheets on a monthly basis throughout the relevant tax year.
Benefits administration:
Involvement, with the Benefits Committee and the annual renewals process as required.
Manage the reconciliation of the renewals process in relation to financial activities between the provider and company records, arranging payment and the recharge of the benefits costs to the relevant general ledger cost centres.
Ensure compliance and the administration of the processes for the salary sacrifice arrangements (pension, childcare vouchers and cycle scheme as well as deductions for charitable donations (GAYE)).
Undertake the administration for and reimbursement of the gym membership and mobile phone processes.
Budget preparation:
Manage and prepare the annual budgets for all salary, fringe benefits, and professional fees nominal accounts.
Reconcile all items and deal with any queries or questions raised regarding the values.
Non UK payroll:
Liaise with the US and external accountants PWC in relation to the gross up salary package at the start of the new financial year.
Make payment by BACS transfer of the net pay due and prepare manual payslips each calendar month.
Reconcile the monthly payroll including the liabilities due to HMRC. Ensure payment deadlines are met. Austrian Payroll - Liaise with external Austrian accountants (PWC) in relation to the monthly, annual and related deductions and benefits.
General Responsibilities:
Develop and maintain good working relationships with external service providers for financial aspects to include the payroll bureau, pension scheme administrators and financial advisors, accountants at PWC, HMRC, PSPHC and Computershare (childcare vouchers).
Work closely with London management, the HR team and staff from the US offices to ensure that all internal stakeholders are kept updated and achieve required deadlines.
Provide guidance and support to members of staff as appropriate in payroll matters.
Keep up-to-date with all HMRC, National Insurance, legislative and scheme changes. As the payroll specialist provide guidance to the appropriate managers to ensure Firm compliance.
Complete various ad-hoc projects as required.
Required Skills
Demonstrable up-to-date knowledge of all HRMC and legislative payroll requirements and experience of benefits finance administration.
Ideally a member of the Institute of Payroll Professionals (IPP).
Previous experience of working in payroll; working with a firm's payroll provider and administering non-UK payrolls.
