Job Title: Office Administrator

Location: Harrogate, HG2

Salary: £18,000 - £20,000 Depending on experience

Job Type: Full Time, Permanent, Monday - Friday

Our client is a leading British engineering business, focused on the development of pioneering 'must have' products and services for utility and infrastructure markets around the world. They are currently looking for an Office Administrator to join their team based in Harrogate.

Role and Responsibilities:

  • Organise office based activities daily, distributing the post, dealing with stationary orders, kitchen and toiletry orders, ensuring the filing is up to date, answering incoming calls, meeting and greeting visitors, providing refreshments for visitors, preparing the conference/meeting rooms for the executive team.
  • Document control Register - reviewing and monitoring of all documents across all departments especially IMS documentation, ensure that the documentation is being controlled.
  • Assist with compliance schemes, supplier audits and the update of Achilles and other management information schemes
  • Monitor, update and ensure completion the audit plan for the company to ensure compliance to procedures and PAS 99, ISO 9001, 14001 & OHSAS 18001. Maintain the compliance spreadsheet to ensure completion of noncompliance, and observations during audits.
  • Complete internal audits - training provided to become an internal Auditor
  • Process any requirements for the Integrated Management System and assist other departments with paperwork, including the updating of forms
  • Organise the servicing, maintenance of all company vehicles, ensuring that all MOT and tax discs are in date. Recording of mileage of all vehicles monthly and updating the information and providing accounts with personnel mileage on all company cars
  • Update information on a yearly basis of staff's driving licences and help check new staff details to ensure they are edible to drive
  • Assist in the Investigation of health and safety relating Incidents and Near Misses
  • Take the minutes for the Delivery Focus(DF) meeting and Engineering Change Record (ECR) meeting
  • Organising eye care vouchers for staff to attend eye check ups
  • Ordering and stock control of PPE and workwear, issuing and collecting PPE and workwear for staff. Compiling the monthly H&S Budget.
  • Weekly Fire Alarm tests
  • Recording all environmental monthly information (electricity, gas and water readings), informing the Business Support Manager of any anomalies. Organising quotes from energy providers when renewal is required.
  • Recording all carbon footprint information (rail/air travel information) to be able to complete the annual environmental statement.
  • Legislative and compliance updates, aid the Business Support Manager in identifying new legislation and identify areas of improvement.
  • In close liaison with the Production Administrator and Operations Manager assist in assessing all new suppliers
  • Waste Management
  • Work within the OHSAS18001, ISO9001, ISO14001 PAS99 processes within the operational side of the business
  • Ensure compliance with legislation and statutory requirements for Health & Safety, Environmental, Quality and the Employee handbook.

As a member of the Administration Team will need to be:

Qualifications and Education Requirements:

  • Accounts/Office experience
  • 5 GCSEs including Math's and English
  • Sage Experience

Preferred Skills:

  • Good IT skills including the ability to use MS Word/Excel/ Outlook using an accountancy package
  • Good numeracy skills, at ease working with numbers
  • Able to communicate clearly and effectively in all forms of written correspondence
  • Well organized and able to multi task
  • Understand the needs of others and demonstrate willingness to help and work flexibly
  • A flexible approach and able to thrive in a changing environment
  • Enthusiastic, proactive approach and able to take initiative
