Who are they looking for?

They are looking for an experienced PA/ Executive Assistant to provide comprehensive administrative support to their Chief Financial Officer (and acting interim CEO), Managing Director (UK & IRE) and Senior Management Team. In this newly created role, you will have a "can-do" attitude and be able to act professionally with confidential information as well as using your initiative. It is therefore essential that you have experience providing administration support at senior level.

You will also provide line management and mentoring responsibilities for our Receptionist.

This position is based at our Headquarters in Cambridge, but requires flexibility to travel both within and outside of the UK.

What will you do?

  • Provide full PA support including diary management using Outlook calendar and inbox, managing correspondence and email management.
  • Organising regular meetings as requested including one to one meetings with direct reports.
  • Liaise with the Company Secretary to organise meetings.
  • Organise, produce and circulate Board papers, presentations and minutes. This will also include preparing agendas and any pre-meeting briefings.
  • Preparing reports and presentations using Microsoft Office (Word, Excel and PowerPoint).
  • Organise any travel (domestic and foreign) including flights, transfers, visas accommodation and itineraries.
  • Receiving and dealing with telephone queries, taking messages, re-directing and using your initiative to deal with any queries.
  • Manage expenses ensuring that they are completed in an accurate and timely manner.
  • Attend meetings taking accurate minutes and co-ordinate actions accordingly.
  • Provide additional support and undertake ad-hoc work to the CFO's direct report functions including HR and Finance.
  • Working closely with our Sales team ensuring that the Managing Director (UK and IRE) is kept up to date with sales meetings and all required information.
  • Provide line management responsibilities for the Receptionist, ensuring that they receive the required level of support.
  • Liaise with the building manager on a regular basis and undertaking facility management as required.
  • Provide cover for the receptionist during times of absence.
  • Develop and maintain relationships with key partners.

Required Skills:

  • Proven PA experience within a fast-paced environment, ideally working with senior managers, but not essential.
  • Advanced Microsoft Office, in particular in Word, Excel and PowerPoint.
  • Ability to understand financial and numerical information.
  • Proven experience mentoring juniors essential and line managing individuals desirable.
  • Highly organised with the ability to work independently and often with little direction.
  • Excellent communication skills (both verbal and written).
  • Confident and assertive and the ability to liaise at all levels effectively.
  • Experience in the preparation of Board papers and associated documents.
  • Excellent interpersonal skills with a proven track record of building and maintaining relationships.
