This is a job share role, 18 hours per week, and candidates must be able to work Wednesday afternoons and all day Thursday and Friday (this is non-negotiable).

Role Purpose:
Responsible for ensuring the smooth running of the Leeds office and ensuring all central business functions are supported.
Accountabilities:
- Being the point of contact with our office landlord to communicate any important issues to Calbee Colleagues and to ensure they are made aware of any office issues and these are rectified swiftly. Eg phone lines, lights
- Lead the community engagement activity for the Leeds office, ensuring active participation of all colleagues and arranging company PR where appropriate.
- Inducting new colleagues to the office including the issue of security passes, fire escapes and health and safety and ensuring new colleagues have all necessary equipment, furniture and services access.
- Managing the customer care line and ensuring out of hours cover. Also ensuring all issues are followed up and reported correctly and on a timely basis.
- Taking a lead role in arranging Leadership events, colleague engagement events and managing costs within a pre-defined budget
- Maintaining the Calbee twitter page with input from the marketing teamControlling the holiday, sickness and colleague movement sheets on SharePoint and ensuring compliance with all colleagues
- Collecting the post on behalf of Calbee on a daily basis and distributing it on a timely basis and ensuring safe delivery of pay slips to all colleagues
- Coordination of the company newsletter, ‘Snack Chat’, on a rotating basis with the Deeside team
- Managing meeting room requests
- Co-coordinating any activity relating to New Suppliers, Purchase Orders and Purchase Requisitions
- Taking the lead on liaising with the Waterstons Service Desk with colleague IT issues
- Providing business support and assistance to all central functions within the Leeds office
- Taking ownership and efficient management of the colleague shared IT portal
- The daily management of the generic email inboxes, reply to queries, passing on important information/contact to relevant functional heads.
- Maintaining the appropriate stationery levels
- Maintaining the principles of the tidy desk policy within the office and ensuring that the sample room is maintained and kept tidy with all the key stakeholders using the room for storage.
- Supporting the MD where necessary with the management of his expenses, hotel bookings and any other travel arrangements.
- Arranging a hire car process and control booking for colleagues where necessary
- Supporting the HR manager with specific HR tasks such as sickness reporting, return to work, annual driving license records, business compliance on insurance policies

Critical Skills/Experience:
- Knowledge of Excel, PowerPoint and Word
