About the role

We are looking for a talented Workflow Co-Ordinator to work in our Document Design Team. We are a high demand team who create , printed, online and digital presentations, brochures, reports, and high value proposals for our internal and external clients.

The Workflow Co-ordinator is a key and challenging role within our business. You'll be working at the heart of the team with responsibility for administering our requests portal/database to ensure the smooth running and resourcing of work across the team.

Working closely with the Team Leaders and Manager you will take the lead in the administration of incoming work requests, assessment of the request and for allocating the appropriate resource.

Key responsibilities in this role include:

Day to day administration of the Document Design inbox and My Services database.
Day to day resourcing of Document Design work to team members, based on skills, ability and availability.
Being an initial contact between UK Document Design and internal clients.
Interaction with overseas Document Design team and UK team members.
Assisting with administration of team meetings/events, social functions and/or training events.
Assisting UK manager with production of MI (management information) and other reports.
Monitoring and reporting on project progress.
Sharing ideas and best practice with peers, working together to achieve business priorities.
Respond effectively to queries.

Essential skills and experience

You'll ideally be an experienced Workflow Co-ordinator from a Document Design team within a professional services (or a similar industry such as banking or legal).
Highly organised approach to performing tasks and prioritising work where there are conflicting demands.
Excellent communication skills as you will be regularly acting as the first point of contact between Document Design and our client facing staff.
You will be flexible, approachable, tactful and diplomatic.
Ability to work effectively under pressure.
Confidence requesting further information or recommending when it would not be appropriate for the team to take on a piece of work.
Pragmatic and objective approach to problem-solving and the ability to multi-task.
Willingness to learn how to perform new tasks.
Meticulous attention to detail required.
Punctual, flexible and responsive.
Excellent knowledge of Microsoft Office applications. A broad understanding of Adobe Creative suite an advantage.
