Job purpose:
We are looking for a full time, experienced, flexible Personal Assistant to provide administrative support to the extremely busy Estate Manager running a busy rural private country Estate. Due to the fast paced and demanding nature of the role the ideal candidate should be happy to work as part of a small team of 5 people in a rural setting where no two days are the same and 'To Do' lists rarely get completed. Part of the role involves the coordination of a very small number of events held on the Estate. Although a bonus, events experience is not necessary, but a willingness to learn on the job and take a proactive role is a must.
Key responsibilities and accountabilities:
- Manage diary and schedule meetings and appointments for the Estate Manager
- Transcribing notes and typing letters
- Act as the first point of contact into the office
- Screen and direct phone calls and distribute incoming / outgoing post
- Update electronic and hard copy files
- Updating company website
- Dealing with residential & commercial tenants/contractors/surveyors
- Coordinating the small amount of existing events, liaising with event organisers etc
- Dealing with new events enquiries
- Producing Health and Safety risk assessments and method statements
- Arranging event and entertainment licences
- Coordinating fire and intruder alarm servicing
- Maintaining and updating the First Aid kit
- Ordering stationery
Requirements:
- Proven work experience as a personal assistant
- Proficient in MS Office
- Excellent organisational and time management skills
- Ability to multi-task and prioritise workload
- Excellent verbal and written communication skills
- Discretion and confidentiality
- Educated to A Level or similar
- First Aid trained (or training will be provided)
- Experience of Risk Assessments / Health & Safety
- Due to the location a car is essential
- Flexibility - there may be on occasion the need to work at weekends or after hours depending on the type of event running
