Job Title: Litigation Secretary (Part-Time)
Location: Guildford
Salary: £12.5K per annum (FTE £25K)
Hours: This job will be a job share of 2-3 days per week, but in addition you will need a willingness to cover holidays, up to 5 weeks, including school holidays.
The company is an innovative, market-leading lawyers who specialise in commercial debt recovery & litigation. Based in modern offices on the outskirts of Guildford with ample parking, there is a vacancy in their focused, but friendly, Commercial Litigation Department.
Job Role:
To provide secretarial assistance to the solicitors in the Litigation Department, together with some administrative support to enable the department to operate smoothly
- Ensuring that all necessary typing, copying and preparation of papers is done promptly and neatly
- Provision of helpful telephone reception and assistance for clients and other callers
Key Responsibilities:
Administrative
- Acting as receptionist for Litigation clients
- Telephone reception in Litigation department
- Attending to: Entry of all Court hearing dates in electronic diary, Entry of disbursements, Preparing end of month invoices to clients
- Internet research on legal and commercial web sites
- Maintaining electronic Contacts Address Book
Secretarial
- Arranging appointments with clients and updating solicitor’s electronic diary.
- Liaising with counsels’ clerks.
- Liaising with clients by telephone.
- Progressing cases by chasers and follow-up action
- Audio typing
- Litigation filing and post
- Checking and despatch of daily post
- Use of electronic filing system
- Preparation of Trial bundles for use by the Court and Counsel
- Preparing disclosure list and collating disclosure documents.
The Candidate:
Experience:
- Secretarial experience is essential
- Administrative
Knowledge:
- Basic knowledge of the structure, procedures and personnel of the courts, (High Court, District Registry and County Court).
- Familiarity with the White Book.
- Understanding of the role of Counsel.
- Office procedures.
- Outline knowledge of Solicitors Accounts Rules.
Skills:
- Ability to prioritise.
- Mathematical and basic accounts.
- Diary control and record keeping.
- Ability to organise.
- IT literate in all Microsoft programmes.
- Accurate and fast typing skills.
- Operating within a team.
