Accounts Administrator / Accounts Assistant, Salary up to £18k dependant on experience, Based; Hemel Hempstead

A National Property Management Company are looking for an Accounts Administrator / Accounts Assistant to work within their accounts payable and utilities team. This position would suit someone who is looking to start their career within accounts and / or start a professional qualification – AAT. Applicants will need to be numerate with Microsoft excel and general administrations skills. Experience or an understanding of accounts / finance is highly desirable. The role involves extensive use of Microsoft Excel to administer, process and validate account and supplier information. A high level of accuracy and due diligence is required.

Accounts Administrator / Accounts Assistant Key Responsibilities;

  • Supplier “set-up” – ensuring undertaken strictly in accordance with our internal process
  • Supplier invoice administration, processing and validation – ensuring undertaken strictly in accordance with internal processes;
  • Dealing with all queries, liaising with Utility providers and internal personnel to resolve within a timely fashion. Encompassing good telephone links, internally and externally.
  • Responsible for the daily processing of supplier’s invoices and credits, reconciling balances from statements to the purchase ledger.
  • Investigation work – leading to internal and external queries, complaints and resolution.
  • Supplier payments - ensuring payments are made strictly in accordance with internal procedures and are within agreed supplier terms as applicable (thereby minimising risk of late/non-payment issues/costs arising)
  • Supplier ledger “hygiene” – includes ensuring all individual supplier “Ledger” accounts are regularly maintained and reconciled with supplier statements; also, ensuring all “debit”, “aged”, “queried”, “lost” or similar items are scrutinised and cleared down
  • Integrating supplier balances for “new” sites coming into management (and conversely clearing down supplier balances for “lost” sites)
  • Produce, analyse and distribute weekly/monthly statistics across the business
  • Communication (written and oral) to all parties (internal and external)
  • Ensuring adherence with (internal & external) Service Level Agreements, and compliance with all systems and procedures  
  • Maintaining the highest professional standards of conduct, and data/processing accuracy always
  • To support other members of the team as appropriate to assist in the overall efficient operation of the team

Accounts Administrator / Accounts Assistant Person Specification  

  • Experience within an office based environment, preferably within accounts / finance
  • Highly computer literate with Microsoft excel skills
  • Must have good numeracy skills
  • An interest in accounts / finance and perhaps with an accountancy qualification (AAT) or an interest in pursuing the AAT qualification
  • High attention to detail and accuracy with the ability to take responsibility
