Job Description: Communications and Administrative Assistant
Job Purpose: To assist the company in promoting the work of New Perspectives to the widest possible audience in such a way as to maximise awareness, profile, attendance, income and create customer satisfaction.
Main Tasks
1. Audience venue and promoter liaisons
1.1 to regularly liaise with venues and volunteer promoters, tracking marketing campaigns and sales for New Perspectives productions on tour
1.2 to actively liaise with Northants Touring Arts volunteer promoters, fieldworker and visiting companies, provide support, maintain a current database, research new opportunities and carry out administrative duties to ensure the smooth running of the scheme
1.3 to liaise with members of staff with regard to copy writing, direct mail, gathering and typing up biographies, proofing, distribution and work carried out by the company as appropriate
1.4 to coordinate the production and distribution of all printed material (flyers, posters, programmes), artwork, photography and digital content to promote our work and monitor effectiveness
1.5 to work with the Executive Director, to develop, implement and monitor marketing campaigns for tours and events, utilising all relevant channels with the aim of achieving audience targets
1.6 to build key Stakeholders awareness of all our work and charitable objectives
2. External communications
2.1 to identify target audiences and help strengthen links with existing rural audiences of our work
2.2 to complete press and online listings for all scheduled tours and events
2.3 to assist the press representative (freelance) by collating information, drafting press releases and taking a pro-active lead on regional press
2.4 to liaise with local and national media contacts to ensure that all publicity and PR opportunities are utilized, initiating and running promotional activities, as appropriate
2.5 to liaise with other arts, culture and heritage partners across the city to set up reciprocal marketing opportunities (for example, through social media, e-databases, etc)
2.6 to coordinate integrated communication campaigns for New Perspectives productions and activities, to drive ticket sales and grow brand awareness
2.7 to organise press, print and photographic archives for New Perspectives
3. CRM & Research
3.1 to liaise with volunteer promoters and venues, organise and process data and assist in ensuring accurate data capture across all aspects of the companies work using thankQ CRM database
3.2 to accurately capture data and maintain New Perspectives contacts lists including promoters, segmented audiences and participants, media and others to ensure that they are updated regularly
3.3 to manage customer feedback surveys for all productions and events to Audience Agency agreed guidelines
3.4 to identify target audiences and help strengthen links with existing rural audiences of our work to provide relevant research information to inform direct marketing and fundraising activities as required, including researching potential audiences and partners
3.5 to identify and develop new links in targeted areas and work as an ambassador for New Perspectives
3.6 to record and collate information to contribute to tour evaluations for all our productions and events, keeping accurate records in all areas
3.7 to provide general administrative and clerical support and support the smooth running of the company
4. Digital Channels
4.1 to ensure the websites are kept current alongside online production and project activity
4.2 to manage the generation of social media content, creation of blogs, video content and pod-casts generating creative content from individuals and organisations connected to our various streams of business
4.3 to plan, edit and distribute regular e-news newsletters to New Perspectives and NTA email subscribers
4.4 to monitor results using information gathered through google analytics
4.5 to keep abreast of developments in IT and using these as appropriate within the company's communication strategy including updating both the New Perspectives and Northants Touring Arts websites as appropriate
4.6 to work in conjunction with the Executive Director and Artistic Director to play a key role in the implementation of a company-wide digital strategy to enable multiple users to create digital content
5. General
5.1 to regularly monitor progress against the business plan and make any necessary adjustments within budget constraints to ensure its success
5.2 to contribute to the formulation and on-going development of New Perspectives' communications and fundraising strategy
5.3 to participate in all planning activities and attend company meetings
5.4 to attend performances and events as appropriate
5.5 to work closely with our Executive Director and Artistic Director in devising creative and effective strategies for driving revenue across appropriate channels, to maximise income and minimise expenditure wherever possible within the framework of the post
5.6 to keep up to date with new trends in the cultural sector that would enable New Perspectives to deliver a better standard of service
5.7 to promote and comply with legislation and New Perspectives' policies on equal opportunities and health and safety both in the delivery of our work and the treatment of others
5.8 to carry out such other duties as may reasonably be expected of the post
