Position: Marketing & Box Office Coordinator
Reports to: Arts Centre Manager
Responsible for: Marketing and Box Office volunteers
Contract: Full time 37.5 hours worked on a shift basis during days, evenings and weekends
Purpose: Manage and develop the Centre’s marketing and publicity
Time Commitment: Monday to Friday weekday hours and occasional evening and Saturday working on a rota basis
Salary: £19,000
Overall purpose of the job:
To develop, implement and evaluate marketing plans in order to promote Cranleigh Arts Centre’s activities; increase ticket and merchandising sales and raise the profile of the Arts Centre.
To manage and coordinate the box office activities and staff / volunteers
To maintain and develop Cranleigh Arts Centre’s online marketing strategy
To act as Duty Manager for the centre as required
Duties:
Planning and strategy
In consultation with the Arts Centre Manager and colleagues to devise marketing and press plans, within budget, for Cranleigh Arts Centre activities that maintain and further develop our core audiences
- To produce and circulate marketing and PR project schedules for the centre’s seasonal programme in liaison with the Art Centre Manager
- To effectively communicate agreed plans to all members of staff and volunteers, to ensure that they contribute to successfully achieving the overall objectives
- To regularly monitor progress against the business plan and make any necessary adjustments within budget constraints to ensure its success
- Jointly with the Programme Coordinator and in consultation with the Arts Centre Manager to set, monitor and evaluate target ticket and merchandising income targets
- To identify new audiences and identify ways of reaching that target audience
Operational:
- To manage the production and distribution of Cranleigh Arts Centre’s seasonal brochure, and all publicity material ensuring that these are produced on time and to budget
- To monitor and promote events and to liaise with promoters and programmers
- To manage all direct mail campaigns and manage all bulk mailings of print i.e. season brochure
- To ensure the website is kept current alongside online marketing strategy
- To manage all social media for the promotion of the programme, events and venue activities
PR activity:
- To issue and write press releases and monthly listings to contacts
- To maintain the centre’s media contacts lists and ensure that they are updated regularly
- To liaise with local and national media contacts to ensure that all publicity and PR opportunities are utilised.
Box Office:
- To coordinate and oversee the box office staff and volunteers, and to ensure best practice in customer services
- To stay abreast of any developments in Databox software and be willing to undertake training where necessary
- To set up the programme of events; workshops and merchandising for sale on Databox
- To ensure the mailing list is cleansed on a regular basis
- To manage and develop online bookings and sales
- To produce regular reports and accounts for sales and availability as required
- To ensure that all box office staff are trained in Databox and reception duties
Rostered Duty Manager:
- To work duty shifts as identified by the Duty Manager Roster and agreed with Arts Centre Manager
- To manage the reception/box office, dealing with general enquiries, to be conversant with the diary of events and activities, selling tickets using the computerised box office system and carrying out basic administrative tasks as identified by the Arts Centre Manager
Other duties
- To participate in the process of continuous evaluation of the organisations effectiveness in fulfilling its aims and objectives
- To undertake any other duties as required by the Arts Centre Manager

Educated to Degree level or equivalent qualification
Experience of at least 1 year working in a similar role
Knowledge of marketing techniques and PR
Ability to work flexibly

Terms and Conditions of Employment:
The position is permanent full time hours
The notice period is 2 months’ notice from employer and 2 months from employee.
Holiday entitlement is 23 days plus 8 bank Holidays. As well as 3 holiday days taken at Christmas at least 5 days must be taken during closure period in August.
The salary for the post is paid monthly in arrears.
