Job Title: Junior PA/Administrator

Location: Bathgate

Salary: Competitive

Working hours: 9am - 5pm

The company was formed in February 2011 by a management team with over 20 years' experience in the energy services sector.

Job Role:

To provide an efficient and responsive administrative, organisational, and logistical service to Directors, helping to manage and prioritise their time. You will be responsible for providing full secretarial assistance to ensure a high level of service is maintained.

Main Duties:

  • Screen calls
  • Filter general information, queries and redirecting or taking forward such contact as appropriate
  • Dealing with requests, bio or photos etc.
  • Make tea/coffee for visitors
  • Extensive diary management via outlook ensuring calendar are kept up to date
  • Travel and accommodation bookings ensuring within specified budget constraints
  • Assist Directors and Senior Management team with administration as required
  • Formatting board reports
  • Forward plan requirements for meetings, catering, rooms, reports, office equipment etc.
  • Ensure busy diary commitments, papers and travel arrangements are managed effectively
  • Filter emails, highlight urgent correspondence and print attachments
  • Ensure the Directors are fully briefed on, or prepared for, any engagements he is involved in
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Directors
  • Ensure guests meeting with the Directors are well taken care of
  • Provide a service that is in line with the Directors work habits and preferences
  • Scan and file contracts electronically and hard copies ensuring signed and returned within given timescales

The Candidate:

This position will be of key importance within the organisation and the successful candidate must have previous secretarial and administrative experience within a fast-paced working environment. You will be able to demonstrate the ability to effectively plan and organise your workload and the initiative to resolve issues quickly in an appropriate manner.

Qualifications/Experience required:

  • Extensive Diary Management e.g. Microsoft Outlook (Minimum 1 years' experience)
  • A minimum of 1 year's PA/Secretarial/Administrative experience
  • Flexibility is key as working arrangements would change in line with the Directors' working patterns and needs
  • Proactive and positive attitude
  • Good work ethic
  • A good deal of common sense, etiquette and an ability to think on one's feet
  • Ideally educated to degree level, but not essential.
  • Shorthand and excellent typing skills, speed and accuracy essential
  • Good computer literacy (MS Office, Excel, PowerPoint)
  • Excellent organisational skills
  • Excellent communication skills, both verbal and written
  • Professional telephone manner
  • Proven ability to work under pressure and to tight deadlines
  • Bright, confident personality
  • Well presented
  • Highly personable
  • Flexible and mature approach with ability to work unsupervised
