What you'll be doing

Your main responsibilities will be:
Publications / Notices: Order and distribute safety publications and documentation as required and maintain appropriate records. Book all medicals for the managers within the Management Team, Drivers and Guards to comply with company safety standard or occupational health requirements. Ensure medical reports / letters are managed confidentially and filed appropriately. Maintain the Drivers' personal and safety files, ensuring compliance with Data Protection provisions. Assist with the local administration of recruitment and selection as directed. Act as minute-taker at meetings, disciplinary hearings and grievance hearings, etc. as required. Maintain robust systems and processes, including databases for welfare, MFA, delay attribution, disciplinary records, operational incidents etc. Ensure that a thorough and comprehensive accountancy process is followed and maintained to an auditable standard. Ordering equipment and uniform for Drivers and Guards when necessary and distributing it in a timely manner. Carry out 'Fitness for Duty' checks as required. Obtain incident and accident reports from staff as required and forward to the relevant parties, maintaining appropriate records. Ensure that Managers are supplied with the necessary information to investigate / conclude such incidents / accidents and that incident conclusions are brought to the attention of the Driver / Guards Manager for closure and are distributed to other managers and staff as appropriate. Provide Crews with copies of responses to accident / incident reports as appropriate.
Who we're looking for

You'll need to be:
An enthusiastic individual who will join our close knit team and enjoy the fast faced environment of supporting our Drivers and Management Team. A professional point of contact for the driver management team and crucial support to internal customers / service partners to enable current and future service delivery. Able to provide efficient delivery of all administrative procedures and the provision of quality managerial support to the Management Team. Flexible and adaptable to ensure your role is carried out effectively.
As a minimum you'll need to have:
Excellent verbal and written communication skills, preferably with some experience of Microsoft Office, e-mail and SAP. Fantastic organisational and time management skills Previous experience of notetaking is beneficial but not compulsory Attention to detail

Additional Information:
This role requires some weekend, bank holiday and shift work.
