Job Title: Assistant Office Manager

Location: Milton Park, Abingdon, OX14

Salary: Competitive

Job Type: Part Time (25 hours per week)

Job Hours: Monday - Friday, 9:15am - 2:15pm

Our Client aims to accelerate the development of fusion energy by combining two emerging technologies - spherical tokamaks and high-temperature superconductors. The company was originally established to design and develop small Spherical Tokamaks and compact fusion reactors for a range of applications. Since then, the strategy has evolved to prioritise building a pilot plant to exceed fusion energy breakeven.

The Role

To assist the Office and Operations Manager to ensure the smooth running of the office to make sure that visitors are looked after and provide Admin support to the team.

Duties will include:

  • Meeting and Greeting visitors
  • Answering phone calls and redirecting them
  • Receiving parcels and post and distributing within the business
  • Supporting the Office Manager to book lunches for internal meetings and organising tea and coffee for them.
  • Ensuring the Meeting Room is kept tidy and bookings placed daily on meeting room organiser.
  • Raising purchase orders when the Office Manager is absent
  • Supporting the Office Manager to order groceries for the office.
  • Ordering stationary and goods.
  • Dealing with outbound post.
  • Dealing with overseas travel when the Office Manager is absent.
  • Reconciling credit card statements for Operations Manager
  • Organising application forms for opening credit accounts
  • Assisting with office moves
  • Keeping the internal phone list up-to-date
  • General admin support to department heads

Personal Skills and Attributes

  • To have previous experience of working as a receptionist but also be equally good at administration.
  • Have the ability to just get on with the role and to have a 'can do' flexible attitude to performing any tasks.
  • The ability to use their own initiative and have a friendly manner when dealing with people.
  • Be willing to perhaps do a job share, in the future, if the workload increases. On occasions if a meeting starts early to have the ability to be flexible with start time

Qualifications

Essential:

  • At least 2 years' experience in a similar role.
  • Microsoft Office/Outlook literate.
  • Must hold a full driving license

Desirable:

  • NVQ in Administration
  • RSA Typing Qualifications

  • Excellent communication skills, able to impress clients and suppliers with a personable and professional manner
  • Microsoft Office/Outlook Literate
  • Excellent problem solver, with a positive and flexible attitude
  • Great team‐worker, able to work collaboratively with the our team
