We are recruiting for a large corporate company based in Canary Wharf with a workforce in excess of 1000 people split over 3 divisions. They are heavily involved in property management, construction and retail. To date their portfolio including properties currently under construction is valued at over GBP7.5 billion. An opportunity has arisen for an Estate Manager to join the Team to manage and co-ordinate all Southbank Infrastructure, loading bay and car park activities, ensuring the effective control of estate standards by the provision of technical supervision and liaison with all other departments, tenants and other external parties.

MAIN RESPONSIBILITIES

1.To be responsible for the performance of SPML operations on the Estate.

2.To ensure that SPML interacts in a professional manner with tenants/occupants of the Estate and the general public

3.To co-ordinate and manage all Estate operations, both in progress and planned. Assist construction with all operational requests, while ensuring that the Estate remains in good order at all times.

4.To liaise with all relevant organisations/departments including CWCL, Security, Arts & Events, Residential, Commercial and others as appropriate, to ensure the smooth planning and correct implementation of all project requests. To ensure that adequate management is in place at all times.

5.To be the main Estate contact for all residential tenants on all issues related to the Estate Management

6.To ensure that all SPML activities have no negative impact on tenants, including the retail operations and that all efforts are made to minimise such impact. To maintain excellent tenant relationships and to ensure that all services as required by the respective leases, are maintained to the highest possible standard.

7.To manage the operation of the loading dock area to ensure that all activities, including waste management, are carried out in a well-disciplined, efficient and co-operative manner for the benefit of all legitimate users of the loading bay facilities.

8.To carry out daily quality checks throughout the Estate and car parks. To include lighting/paving, cleaning, health & safety and landscaping issues. To ensure that any required work is actioned and followed through to completion.

9.To project manage general infrastructure/car park maintenance works as required.

10.To ensure that the condition of maintenance of all areas of the car parks is of the highest level at all times. To action any remedial works that are required, in liaison with the Services Manager.

11.Ensure that any insurance claims are processed immediately. Copies of invoices received that relate to an insurance claim must be copied to the Insurance Department and recorded.

12.To prepare annual service charge budgets for the designated areas of responsibility and to ensure that such expenditure is monitored and controlled.

13.To liaise with and monitor the work of the various maintenance teams and to be thoroughly familiar with the PPM/USM control system.

14.To ensure that all contractors proceed in accordance with the correct documentation, i.e. SPML work authorisation system and to ensure that all works are accounted for and supervised accordingly.

15.Set the scope and specifications for the cleaning requirements and to ensure that the required standards are maintained.

16.To comply with the Company's Health & Safety policy and relevant procedures.

17.To be available outside normal working hours to cover for emergency situations.

18.To liaise closely with the Services Manager with regard to daily staff planning/utilization

19.In liaison with the Services Manager, record and schedule all energy fuel costs and consumptions including humidity levels and daily indoor/outdoor temperatures as required. To ensure that, in liaison with the CWML Fire, Safety & Environment department, such data is analysed on a regular basis and any necessary action taken.

21.To carry out other reasonable duties as requested by the Co-Managing Director.

QUALITY MANAGEMENT RESPONSIBILITIES

All staff are required to comply with CWG Quality Management System requirements detailed within the Company Quality Manual & Policies, and to ensure that all Procedure; Plans and Forms within InfoBase are effectively implemented to meet the set ISO 9001 Quality Management Standard.

PERSON SPECIFICATION

??Experience of premises and environmental management of multi-occupied properties with both office and retail space, utilities and civil construction and/or management of the exterior common parts of an estate are essential.

??To have experience and knowledge in all aspects of managing a mixed development with particular focus on residential management and customer service

??A sound knowledge and appreciation of technical and operational facilities required by prestigious and "intelligent" buildings and their infrastructure.

??The incumbent must be numerate, computer literate, possess excellent communication skills and have the ability to motivate/organise staff resources effectively and efficiently.
