The Opportunity An opportunity has arisen to provide full secretarial and administrative support to the Investment Sales and Support Director and Technical Development Director for Learning Matters. This is a 12 month Fixed Term contract based in our Chelmsford Office (4 days per week) and 1 day per week in London. The role is a mix of PA support, Team support, and Sales support so you will be flexible in your approach and tasks. Your responsibilities will be??? * Maintaining confidentiality at all times when handling sensitive and confidential matters* Ensure both diaries are managed effectively, prioritising meeting requests, avoiding clashes, re-arranging meetings when required and ensuring that each day's schedule runs as smoothly as possible* Competently use the company's Outlook Calendaring and Scheduling system as part of meeting organisation* Preparation of documentation for meetings (agendas, pre-meeting reading material, etc.), ensuring that all documentation is issued to the correct recipients and as far in advance of each meeting as possible.* Arrange meeting rooms, video-/tele-conferencing facilities, catering, special equipment as required* Remain a point of contact for 2 Directors when they are out of the office* Screen and prioritise telephone calls, take telephone messages* Monitoring e-mails when the Directors are away or do not have access to them* Arrange all travel (international as well as UK) and accommodation requirements, including putting together any relevant itineraries. Understanding internal insurance requirements for travel* Prepare PowerPoint presentations for any Internal Sales Meeting or Board meetings* Undertake general secretarial and administrative tasks such as filing and photocopying* Preparation of Board reports* Preparation of monthly statistics relating to the Technical Development Directors events and client contact* Collation of Departmental statistics in conjunction with the CRM Team* Completion of monthly expenses for both plus Director of National and Networks* Liaise with the Fund management team to provide internal training* Organise all team events (internal and external providers)* Point of contact for all Video conferencing requirements for the Chelmsford office liaising with PR and the Digital Team What are we looking for? You should have a good understanding of Investment Management Business and be an expert user of Outlook, MS Power Point and MS Excel (Salesforce skills would be a plus, however, training will be given). It is preferred for you to have experience in a similar PA position. You will need to have an extremely structured and accurate work approach with strong organisational skills and high attention to detail.
