JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / Bid Team Administration Assistant with excellent administrative, organisational, time-management and communication skills.

Working as the Administrator / Bid Team Administration Assistant you will report directly to the Bid Team Manager and will provide administrative support to the Bid function and wider Commercial Team.

As the Administrator / Bid Team Administration Assistant you will assist with identifying and disseminating bidding opportunities, completing Pre-Qualification Questionnaires (PQQs), arranging bid meetings and communicating with subject specialists throughout the business.

DUTIES

Your duties and responsibilities as the Administrator / Bid Team Administration Assistant:

  • Monitor new bidding opportunities on external portals, download and circulation of the relevant documents
  • Good understanding of the bidding process and assisting with the research, preparation and submission of EoI and PQQs
  • Arrange meetings with relevant commercial and operational staff
  • Work closely with the Bid Team to deliver high quality submissions
  • External market research, encompassing competitor analysis reporting
  • Maintenance of Bid Team work log, responding to requests and query management
  • Ability to work on multiple bidding opportunities at once and meet stringent deadlines
  • Assist with managing and updating the bid library
  • Day to day administration, involving email, MS Word correspondence and call handling
  • Supplier liaison (Printers, designers etc.)
  • Procurement management, preparation and collation of purchase orders and maintenance of Proactis finance and e-procurement system and monitoring of budgetary expenditure
  • Open and distribute post, collation of external post ensuring effective delivery of items
  • General office duties such as copying and preparing documents, office supply management and other clerical duties

 

IDEAL CANDIDATE REQUIREMENTS

  • Excellent communication / listening skills
  • Excellent customer service, interpersonal skills
  • Detail oriented
  • Good knowledge of information technology especially Microsoft office (Word, Excel)
  • Administrative skills, i.e. typing, co-ordination of management reports
  • Knowledge of billing functions of computer system and accounting principles
  • Ability to learn Company’s computer software program, understand business operation and each function on overall operation
  • Ability to work without supervision
  • Self-motivated, reliable and enthusiastic
  • A team player, able to work effectively under pressure
  • Strong organisational skills with the ability to multi-task and prioritise in an environment with frequent interruptions
  • Ability to meet deadlines and handle sensitive, confidential information on a regular basis.
