Duration: 10 month mat cover

An exciting opportunity has arisen for an experienced Personal Assistant to join one of the world's leading pharmaceutical companies on a contract basis.

Key Responsibilities:

  • Organising complex visa applications
  • Provide travel and congress event support for team members
  • Coordinates internal complex VMR/VC conferences so they run smoothly and ensuring all required meeting amenities are available - often outside of standard working hours.
  • Organise HCP engagement and payments for Commercial Strategy
  • Performs other administrative tasks using independent judgement or as identified by the manager
  • Provides specialist project based administrative support when required
  • Prepares and updates spreadsheets, documents, reports and presentations which may regularly contain highly confidential and personally sensitive information using software available
  • Plans, organises, and schedules own workload so that all activities are completed accurately and on time
  • Raise Purchase Orders/Payments
  • Coordinating new starter requirements - normally Expatriates
  • Arranging team events
  • Ensure all activities conform with company standards (Require a thorough understanding of Code of Conduct and T&E policies)

Skills & Experience:

  • Book travel + hotels + Visas
  • Liaise with local facilities & IT as required
  • Calendar management, arranging VMR/VC and internal meetings across multiple geographies
  • Ability to handle a high workload and conflicting priorities effectively, often working under pressure and to tight-deadlines.
  • Anticipates and plans appropriately and seeks advice and support to allow delivery to be maintained
  • Acts as a resource, knowledge base in own department for company policies and procedures
  • Ability to pick up company systems quickly
  • Raise Purchase Orders/Payments
  • Strong delivery focus - able to demonstrate that he or she has taken direct personal responsibility to ensure activities are delivered on time and to budget.
  • Aware and sensitive to cultural differences within the business and ability to adapt behaviour accordingly.
  • Shows discretion, and appropriately handles highly confidential and sensitive information.
