Accounts / Admin Assistant Birmingham City Centre37.5 hours a week with flexible options GBP16,000 - GBP22,000 (dependent upon experience) We are working with a leading independent firm of commercial property agents, for offices and industrial units in the West Midlands, for the recruitment of an accounts admin assistant. The main purpose of the role is to provide general accounting and clerical support to the office and Property Managers. You will be an integral part of the team and typical daily duties will include: Daily downloading of client bank account statements and dealing with any incoming cheque payments. Keeping record of cheque payments. Posting receipts to property management software system and issuing of VAT Receipts, where necessary.Carrying out credit control procedures to ensure tenants pay rent and any other charges on time and in accordance with the terms of their leases/tenancies, including telephone chasing and issuing of reminder letters. Liaising with the Property Managers concerning any need for enforcement action.Daily processing of purchase invoices for payment, preparation of electronic payments and posting expenditure on property management software systemDealing with general accounting queries from clients, tenants and suppliers.Keeping diary for Maintenance Operative, preparation of daily job sheets and provision of work instructions, arranging lock changes and vacant property inspections, preparation of vacant property inspection reports and the recharging of costs to clients.Instructing contractors to carry out servicing and maintenance works to managed properties in accordance with approved contractor policy. Monitoring progress of works and confirming once works have been completed.Dealing with utility companies to arrange for electricity, gas and water accounts to be transferred into appropriate names, provision of up to date meter readings and ensuring transfer of supplies, when properties are sold or let. Dealing with the renewal of utility contracts.Answering telephone during busy periods and taking messages.Provision of general accounting support to the Property Managers.Preparing copy invoices to be sent to clients / external accountants for completion of quarterly VAT Returns.Setting up service charge year end files for completion by senior staff. Essential skills required: Previous experience in a similar accounts role - experience of credit control and dealing with the processing of a high volume of invoices.Excellent IT skills.Positive attitude and willingness to pick up the phone to sort out any queries as they arise.Self-motivation and ability to plan time effectively. Desirable skills: Previous experience within a property management company or property related company such as letting or estate agents. Location: The company is based in Birmingham City Centre. Approximately 5 min walk from Snow Hill Station and 10 min walk from New Street Station. Hours 37.5 hours, standard hours are Monday - Friday, 9.00am - 5.30pm with 1 hour for lunch however some flexibility can be offered regarding start time. E.g. 9.30am - 5.30pm (with 30 mins for lunch) or 9.30am - 6pm. Please feel free to call to discuss your flexible requirements. Annual Salary GBP16,000 - GBP22,000 dependent upon experience.
