About the Job:

The Business Support Officer will be responsible for providing effective general administrative support to the 700 MHz Clearance Delivery Programme and facilitate across a range of teams within the Spectrum Group team.

You will provide the entirety of Project Management Office support to the 700 MHz clearance programme and in particular, support the overall 700 MHz Programme Manager.

What you will be doing:

- To provide effective records management, including electronic and paper filing; entering data and updating programme reporting tools in accordance to our Ofcom PMO processes and guidance
- To provide general administrative support to the 700 MHz Clearance Delivery Programme PMO 
- Support the control of change management working with the PMO to assist the 700 MHz Programme Manager in monitoring and updating status of programme activities and milestones
- Ensure changes to reporting milestones are identified in the reporting to the 700 Programme Board, SCAP MB or SET as appropriate and feed outcome(s) back into workstream plans and update registers
- Support the review of stakeholder management individual workstreams - regular reviews of stakeholder engagement plans, matrix and communications plan and occasionally support quarterly review and sign off process
- Assist with the programme tracker to record and track stakeholder responses within the committed timeline and provide SLA/KPI inputs on a monthly basis
- Support project assurance by tracking actions and review of the programme process controls and guidance documentation and to ensure teams are supported to assist clear reporting for the programme
- Support resource management tasks 
- Resource mapping for the programme to reflect the key milestones, requests from the SG PMO office and any new resource requirements
- Support management of reporting processes for internal and external reporting including reporting to Policy Management Board, Spectrum Clearance and Awards Programme (SCAP) Management Board and SG portfolio report. Ensure timely exchange of documentation
- To manage key summaries of programme governance reporting, update and circulate these in advance of the checkpoint meetings
- Record key actions from committees for the programme and to provide information on key challenges to the programme manager/PMO
- SharePoint management - Taking ownership of the 700 MHz Clearance Programme SharePoint site. This includes storing all documentation in accordance with the agreed process thereby making it easily identifiable and accessible for the OET
- To support other key PMO activities as appropriate including potential support to Risk management and budget analysis

Essential Skills / Experience:

- Able to work independently, demonstrate flexibility and adaptability, and supports a culture of collaboration and trust
- Able to produce concise, good quality and well written documents and emails, showing strong attention to detail and accuracy
- Able to manage a varied and changing workload, using initiative to prioritise and escalate issues where necessary
- Reliable and accurate record-keeping and filing, and ability to use databases
- Appreciation of and desire to promote Ofcom's values of excellence, agility, empowerment and collaboration
- Good computer literacy, with familiarity with the MS Office suite, particularly Excel spreadsheets, Ability to use printers, scanners, etc

Qualifications:

Candidates must be educated to a minimum of GCSE level, or hold equivalent experience
