BackgroundAXA Travel is a business unit operating as part of the AXA Partners group. AXA Partners provides assistance services, travel insurance, and credit and lifestyle protection insurance globally, with a presence in over 40 countries covering five continents, and a workforce in excess 10,000. We provide a 24/7-hour service, 365 days a year. The travel business unit provides a range of travel insurance and assistance products and services. AXA Travel is based in Redhill, Surrey, with approx. 300 employees. It provides a quality travel assistance service to its customers, on behalf of its corporate clients, most of which are highly recognisable brands.This role will be based in Redhill. Occasional travel may be required. The role will involve liaison with internal and external contacts throughout the AXA Group in the UK and worldwide, as well as other external contacts, such as clients. Job purposeTo provide dedicated personal support to the CEO to enable him to carry out his duties efficiently and effectively, and act as a central reference and co-ordination point within and outside of the company. The role? Organise the CEO's diary effectively to ensure good time/priority management, including arranging meetings and allowing appropriate spaces for working time and travel time? Support the CEO with his emails where required, ensuring that any urgent matters arising in his absence are forwarded to appropriate persons for response ? Organising all travel and hotel bookings for the CEO's trips, researching flight information, ensuring that all elements - such as transfers, local transport and hotel bookings are covered and aligned - and preparing detailed itineraries. Also ensure that, where required, the CEO's travel arrangements are co-ordinated with those of travel companions? Preparing the CEO's expenses and collating all appropriate receipts for the Finance department, including recording and tracking all expenses and payment dates? Arranging regular meetings, including inviting attendees, preparing agendas and co-ordinating presentations, organising refreshments, taking notes in the meetings and distributing afterwards, as required? Assist with creating sophisticated PowerPoint presentations for business meetings and briefings? Translate emails, documents and presentations from French into English and vice-versa, as needed? Make arrangements for visitors from other offices and companies, including arranging meeting rooms, equipment, refreshments, lunches/dinners, hotel rooms and transfers etc. as necessary, and acting as a point of contact/co-ordination for arriving visitors? Attend executive committee meetings, managing agenda, minutes and actions. ? Providing support to the CEO with his personal arrangements as required, e.g. assisting with matters relating to his London property or children's schools, etc. (occasional)? Maintain a pro-active and structured approach to the role, anticipating future needs and problems and taking active steps to address these as far as possible? Ad hoc work for the CEO and Executive Committee as required, including providing support to other executive members as required?
