Administration Manager, Permanent - Full Time (37hrs per week)

With this in mind we are seeking to appoint an Administration Manager to be based at HMP Elmley.

The purpose of the role, under the direction of the Education Manager, is to effectively plan and manage the deployment of the administration team of staff, in line with policies and procedures. Within this friendly and supportive office, you`ll be expected to provide a comprehensive and effective administration service that supports contract monitoring and maintain effective and efficient data relating to finance, personnel and learners.

Key responsibilities (but not limited to) are as follows:

-Effective day to day planning and management of staff and resources
-Recruit, develop and maintain a flexible, qualified and experienced administration team.
-Ensure the safeguarding of learners
-Accurate and timely reporting and analysis of all funding and compliance activity.
-Accurate and timely reporting of data required by stakeholders that has been arranged within the establishment`s partnership agreement.
-Undertake regular system checks to ensure internal and external audit requirements are being met including undertaking appropriate data validation checks to ensure accuracy.
-Maintain the security of all auditable evidence
-Ensure all examination procedures are administered correctly
-Day to day management of administration team in line with Novus policies and procedures, liaising with Regional HR Advisor as necessary.
-Ensure compliance with Novus and partners` health, safety and security requirements. Deal with any breaches in line with contractual agreements and in line with Novus policies and procedures.
-Proactive and constructive contribution to the department`s meetings and planning process.
-Ensure compliance prison security requirements


As a successful candidate you will have:
-Track record of effective and efficient administration within a busy office environment, dealing with high volumes.
-Ability to prioritise work and direct the administrators to ensure successful delivery of service, whilst maintaining a `hands on` approach.
-Track record of maintaining accurate electronic and paper-based data recording systems
-Ideally have experience of effectively managing a team in an office environment, however a development role could be given to the right candidate.
-Excellent Microsoft skills, particularly with Excel.
-Good literacy and numeracy skills
-Hold or be willing to gain qualifications at level 2 in literacy and numeracy within agreed timescales
