Office Admin and Reception North Somerset. Salary ??16,000 or pro-rata. Maternity Cover from 13th March to 31st December 2017. Full time 37.5 hours per week. You must have full authority to work in the UK and be fluent in English. Our Client is a successful and growing company producing aluminium and timber windows part of a prestigious group of companies dedicated to the supply of high quality fenestration products for the more discerning customer. From design through to installation, they deliver bespoke architectural door and glazing systems with minimal sight lines. Friendly and supportive team. You will have good communication skills. Ability to support and work as part of a team. Polite, thoughtful and friendly attitude. Competent in searching internet for hotels.Methodical approach. Good IT skills; including Word, Access, Excel and Mail merge. Filing skills. Genuinely care about the service you deliver to ensure that the requirements of your internal and external customers are met at all times. As an integral part of a busy team this role is extremely varied, therefore the ability to multi-task and support other colleagues within the team is essential. Ability to remain calm under pressure and when dealing with difficult situations. Good organisational skills. Willingness to contribute fully and flexibly as part of a team. Adaptable and resilient to meet the changing needs of the department / business. Good working knowledge of Microsoft Office Excel & Outlook. Duties will include answering the 6-line switchboard, ensuring calls are filtered to the relevant department. Updating spreadsheets and databases with new client details. Producing an email document providing new clients with an order acknowledgement via Mail Merge. Filing and creating new job files. Sourcing adequate hotels for personnel and liaison with site personnel. Booking other travel requirements, car parking, congestion charge, flights, trains etc. General filing and keeping office space clear of archive files. Email and telephone correspondence with customers. Liaison with Design, Production, Despatch, Manufacturing departments, Project Managers, Operations Manager and Directors. General admin duties. 20 days holiday plus Bank Holidays, working hours 8.30 am - 5.00 pm Monday to Thursday, 8.30am - 4.00pm Friday with 1/2hr lunch break each day.
