Arlington Automotive provides supply chain integration to global OEMs in the automotive industry. We are looking for an Administrator to join our team on Birmingham to handle all site related reception and administrative duties.
Summary of Position
Reporting to the Site Manager, the Site Administrator will be responsible for all the general administration and reception duties related to the running of the site.
Core Responsibilities
- Acting as the first point of contact for all visitors to site; greeting them in a professional and courteous manner and directing them to the appropriate department while handling any queries that they might have.
- Providing reception duties to ensure incoming calls/emails are directed to the appropriate person/department or that messages are relayed where required.
- Handling all incoming and outgoing mail.
- Handle all booking for meeting rooms on site as well as making sure any special requirements are looked after e.g. catering if required.
- Responsible for gathering and processing all information (including clocking in information) relating to payroll for the site including working hours, overtime, annual leave, sickness absence & pay and anything else that is required to process payroll.
- Supporting Team Leaders on any requirements that they may have such as updating of site skills matrixes, productivity information, PDP (appraisal) schedules and tracking of continuous improvement activity.
- Act as the owner for any site specific documents and information to ensure this is kept up to date both on electronic copies and any hard copies displayed and that these are displayed in a useful and appealing way, where appropriate.
- Keep Associate employee personnel files up to date and filing of any relevant information.
- Taking notes in some meetings and typing up any associated outcome letters where required.
- Raising requisitions and purchase orders for site and handling ad hoc purchases where required.
- Responsible for petty cash fund and ensuring accurate record keeping of any expenditure by producing a monthly petty cash report.
- Provide the Site Manager with regular reports and updates where required and supporting on any project work when needed.

- Processing of payroll information to deadline.
- Accurate management of petty cash and associated record.
Skills, Knowledge and Abilities Required
- Excellent verbal and written communication skills.
- Excellent IT skills on word processing and email. Good knowledge of spreadsheets and presentation software. Some experience of working with ERP systems (Baan would be a bonus).
- Excellent organisational skills.
- Good mathematical skill.
